Provides entry-level administrative support for HR and staffing operations under a Staffing Coordinator. Maintains schedules, personnel files, onboarding documentation, certifications, compliance records, HR systems, trackers, and spreadsheets. Follows up on outstanding tasks, confirms completion, communicates with staff and candidates, protects confidential information, flags issues, and supports coordination between recruitment, scheduling, HR, and operations teams.

Process payroll accurately and on time, manage reimbursements, PTO and leave balances, benefits, 401(k) contributions, deductions, and employee records. Review payroll information for discrepancies, respond to employee questions, protect confidential information, and support additional administrative and operational responsibilities. The role requires strong organization, attention to detail, communication, problem-solving, adaptability, and the ability to learn new systems independently.

Develop and maintain relationships with physicians and healthcare providers to generate patient referrals. Conduct outreach, educate partners on services, manage CRM records, collaborate internally, represent the company at events, and report on referral trends.

Provide comprehensive administrative support to senior leadership: manage calendars, schedule meetings, arrange travel, screen communications, prepare documents and reports, maintain confidential records, coordinate projects and events, handle expenses, perform research, and improve administrative processes.

Proactively source and build candidate pipelines using job boards, LinkedIn Recruiter, social media and ATS. Screen resumes, conduct initial outreach, collaborate with recruiters and hiring managers, manage multiple requisitions, and maintain timely communication to ensure a positive candidate experience.

Manage full-cycle recruiting: source, screen, interview, and place candidates. Build pipelines via social media and job boards, communicate with hiring managers, ensure compliance, and analyze metrics to optimize recruitment.

Manage and maintain project and client schedules, update and resolve conflicts, communicate with teams and clients, provide administrative documentation, track progress and deadlines to ensure timely updates and optimal resource allocation.

Edit and assemble recorded footage into polished videos, collaborate with creative teams, add graphics/music/sound effects, ensure quality and deadlines, maintain archives, and track industry trends.

Lead and deliver onboarding and training for new hires (BCBAs, RBTs, administrative staff); develop and maintain training materials and SOPs; ensure competency on internal systems; track completion and readiness; provide ongoing support and improvements; coordinate onboarding logistics and act as primary new-hire contact.

Manage full-cycle recruiting for remote South Africa-hours roles: source, screen, interview, onboard candidates; collaborate with hiring managers; maintain ATS data; improve sourcing strategies and candidate experience using recruitment metrics.
