Manage day-to-day office operations for a $15M+ commercial HVAC contractor: own QuickBooks Online and AR/AP, prepare certified payroll (Form PW-3), manage COIs and insurance coordination, provide notarization, support payroll and onboarding, handle vendor and GC accounting coordination, and maintain office administration and filing systems.

Manage weekly payroll and employee records, support QuickBooks bookkeeping and AP, coordinate insurance and COIs, maintain website and LinkedIn, run Google Ads, and perform general office administration and onboarding. Serve as Office Manager backup and support financial and marketing initiatives.

Manage the full accounts receivable cycle: invoicing, payment posting (ACH, wire, checks, credit card, lockbox), reconciliations, credit memos, collections, and customer communications. Coordinate with sales and operations to authorize shipments or place holds, maintain accurate customer credit files and notes in the ERP (Glovia), and resolve billing discrepancies to ensure timely payments.

Lead onboarding, adoption, and support for courier customers; troubleshoot workflows; analyze customer data for churn risks; surface product feedback; identify expansion opportunities; build scalable CS processes and documentation while collaborating with product, sales, and engineering.

Provide front-desk and administrative support: answer and screen calls, greet guests, backup HR and accounting (AP invoice handling, scanning/shredding), manage COI and bond requests, handle mail, purchasing and inventory, and perform other office tasks to support operations.
