Packages and updates awards in tracking systems, performs Tuition Adjustment and Return to Title IV calculations, and conducts exit interviews for withdrawing, leave-of-absence, or graduating students. Explains unfunded balances and secures payment plans before program start while maintaining accurate records and meeting deadlines.

Serves as the Sacramento campus’s first point of contact for prospective students, applicants, partners, vendors, employees, and active students. Answers questions, screens applicants, explains program requirements, records information in the academy’s system, and manages lead-pipeline follow-up such as event invitations and newsletters. Provides professional, organized, and detail-oriented administrative support in an on-campus healthcare education environment.

Directs daily delivery of the Ultrasound Technology program, overseeing instructors, didactic and lab protocols, clinical affiliates, student academic progress, tutoring, evaluations, and compliance. Maintains accreditation and regulatory reporting for CAAHEP, ABHES, BPPE, and IPEDS, while developing institutional policies, procedures, training materials, and forms. Coordinates with academic leadership and compliance teams to support program quality and acceptable student outcomes.

Manages daily clinical internships for ultrasound students, including preparation, placement, attendance, competency tracking, academic probation documentation, and progress monitoring. Maintains relationships with affiliated clinical sites, assists with site acquisition and maintenance, communicates site protocols, and serves as liaison between classroom instruction and clinical affiliates. Uses Trajecsys and institutional systems for documentation and communication, and may assist with laboratory and didactic instruction.

Supports classroom and laboratory operations for a vascular ultrasound program by maintaining attendance and grades, monitoring supplies, collecting homework, assisting competency exams, proctoring computer-based exams, and communicating with students, faculty, and administrative staff.

Manages clinical placements and rotations for vocational nursing students, coordinating with affiliated clinical sites, program leadership, and outreach teams. Oversees students preparing for or participating in clinical training, assists with acquiring and maintaining clinical sites, and teaches didactic, clinical, and laboratory components as needed.

Reviews FAFSA applications and verification documents, ensures compliance with Title IV and related federal and state requirements, maintains accurate student records, supports audits and quality assurance reviews, processes Veteran Affairs educational benefits, monitors regulatory changes, and trains financial aid staff. The role requires strong knowledge of financial aid regulations, accuracy, organization, communication, and the ability to manage multiple priorities.
