Design and maintain business systems and workflows to support advisory and client service teams. Own complex processes, identify problems and propose scalable solutions. Translate financial planning needs into structured systems, and partner with leadership to test, implement, and optimize tools and strategies. Serve as first point of contact for prospective clients, communicate value of financial planning, follow up on warm leads/referrals, manage outreach and prospect records, support events and advisor handoffs, and participate in ongoing training to improve communication and systems knowledge.

Support tax operations by assisting with tax return preparation, performing basic tax research and IRS compliance checks, organizing and reviewing client tax documents, aiding the in-house CPA on miscellaneous tasks, and handling client communications and information requests. No prior experience required; candidate should be interested in pursuing CPA licensure and align with a high-performance, team-oriented startup culture.

Provide front-desk and hospitality support: greet clients, answer and route calls, manage meeting rooms and client check-ins, assist scheduling and basic admin, maintain a professional reception area, and support operations with light clerical tasks while delivering exceptional first impressions.

Maintain the firm's financial books and records, manage accounting systems and procedures, process AR and deposits, run monthly payroll, monitor cash flow, prepare monthly/quarterly/year-end reports for the CEO, and provide information to the firm's CPA for tax compliance.

Support IT operations by assisting with break-fix solutions, data and systems administration, web design, and building automations using tools like Zapier, Salesforce Flow, and Make. Work closely with leadership for mentorship and participate in professional development and certification pursuits.

Provide high-touch administrative and operational support across daily business functions. Maintain organization, efficiency, and standards of excellence; complete assigned tasks promptly and deliver white-glove client service while supporting teammates.

Manage and execute email marketing campaigns and engagement journeys using Salesforce Account Engagement (Pardot). Build automation rules, lead scoring, landing pages, forms, and RSVP flows. Segment lists, maintain data hygiene and compliance, A/B test campaigns, and analyze performance. Collaborate with advisors and operations and support content creation for newsletters, webinars, workshops, and internal marketing.

Support daily operational tasks and cross-department initiatives; streamline processes and workflows; use internal systems, tools, and reporting; coordinate and track projects to ensure timely completion; document processes and team resources; work closely with operations leaders to maintain efficient communication and task execution.

Lead client-facing financial planning, acquire new clients, present community workshops, maintain white-glove service, obtain Series 65 and Life & Health licenses, pursue CFP® certification and CKA® interest.
