Supports financial stewardship for a research organization managing nearly $10 million in annual funding. Responsibilities include financial reporting, analysis, forecasting, budget development and management, restricted-fund oversight, expense allocation, labor distribution, effort tracking, grant compliance, and process improvement. The role partners with leadership, researchers, grants teams, university stakeholders, and external organizations to ensure accurate reporting, responsible resource management, and informed financial decision-making.

Serve as a strategic partner and trusted advisor to the Vice President of Finance. Coordinate strategic initiatives, executive communications, leadership and Board meetings, special projects, financial analysis, cash management support, budget monitoring, employee engagement, and office operations. Prepare presentations and decision-support materials, represent the Vice President as needed, supervise an office coordinator, and handle sensitive information with discretion.

Develop and publish compelling stories, news, features, social content, email communications, and promotional materials for Notre Dame’s College of Engineering. Research topics, interview stakeholders, translate complex engineering and research concepts for broad audiences, pitch story ideas, and collaborate with communications, marketing, media relations, design, and digital teams on integrated campaigns and outreach.

Performs monthly, quarterly, and annual account reconciliations; prepares and reviews journal entries; posts daily cash receipts; supports fiscal year-end audits and tax preparation; establishes non-grant restricted funds; monitors Treasury Management auto-posting; maintains audit-ready files and workpapers; and assists campus departments with accounting procedures and the Banner financial system. The role includes an initial 3–6 month training period and may become hybrid with up to two remote days weekly.

Administer federal and institutional financial aid programs, ensure regulatory compliance, improve processes, and enhance the student experience. The role collaborates across the University, interprets complex policies, provides clear guidance, mentors team members, supports operations, and contributes to innovative solutions. Strong communication, judgment, customer service, conflict navigation, and attention to detail are essential, along with financial aid policy knowledge and preferred experience with Banner, OnBase, and Tableau.

Lead design and delivery of weeklong, project-based immersion programs for graduate and undergraduate business students. Oversee logistics, on-site leadership, safety and travel, curriculum operations, enrollment, program assessment, marketing, and cross-functional collaboration. Develop pilots and optimize program operations while managing crises and stakeholder communications.

Provide strategic partnership to two AVPs, manage day-to-day operations for Advancement Services, oversee facilities and front desk/student staff, plan and execute events, coordinate donor-facing activities and resource logistics, and liaise with property management and campus maintenance.

Manage an assigned study abroad portfolio including recruitment, advising, selection, pre-departure and re-entry programming, scholarship and financial advising, site visits, program assessment, and cross-campus coordination. Lead strategic initiatives, mentor staff, and liaise with ND Global Gateways to support program quality, compliance, and internationalization goals.

Lead storytelling and engagement strategy for Undergraduate Enrollment, supervise marketing communications, design data-informed multi-channel campaigns, align cross-functional teams to drive yield, manage vendors, and adopt best practices to optimize recruitment and enrollment outcomes.

Support Directors of Regional Development in securing major gifts through prospect research, donor stewardship, CRM management, travel and expense coordination, and administrative and operational support to strengthen donor relations and fundraising efforts.
