The Business Office Manager provides HR, payroll, accounts payable, and administrative support for a senior living community. Responsibilities include supervising front desk staff, recruiting and onboarding employees, processing invoices, reconciling credit card records, reviewing payroll and timecards, managing employee status changes and benefits reporting, and ensuring compliance with company procedures. The role also supports department directors and the Executive Director with financial processes and community operations.

Leads sales and marketing for a new senior living community, overseeing occupancy development, lead generation, advertising, referrals, events, budgets, CRM reporting, and prospect follow-up. Manages and develops the marketing and sales team, including hiring, training, coaching, performance evaluation, compensation, and employee relations. Collaborates with owners, project managers, leadership, residents, and community partners while ensuring brand, regulatory, and organizational standards are met.

Leads financial oversight for a portfolio of communities, including budgeting, forecasting, variance analysis, cash management, financial modeling, capital allocation, and profitability improvement. Presents results to executives, boards, and owners; translates financial performance into action plans; ensures reporting accuracy, internal controls, compliance, and audit readiness; and advises operations, clinical, HR, and sales leaders.

Supports finance operations through resident billing, accounts receivable, collections, cash deposits, resident file audits, census management, and move-out refund administration. Processes statements, maintains billing and census data, handles confidential account inquiries, and assists with month-end reporting, regulatory processes, special projects, and budgeting. Provides customer service to residents and collaborates with departments to resolve billing issues.

Provides courteous reception support in a senior living community by answering and transferring calls, giving information and directions, assisting residents, staff, guests, and vendors, and completing assigned clerical duties. This is a part-time position requiring work every other weekend.
