Assist the Project Manager and Sales team to estimate, secure, and manage machinery moving and rigging projects from inception to completion. Coordinate planning, scheduling, cost tracking, client communications, safety, documentation in SharePoint, and on-site oversight including travel to job sites.

Provide administrative and operational support for warehouse, crating, sales, and accounting functions. Prepare and manage job packets, paperwork, purchase orders, and storage logs; coordinate scheduling, dispatch communications, TSA badging, and safety training. Perform customer and vendor communications, collections documentation, data entry (including ADP/time tracking), inventory reporting, and discrepancy resolution to support invoicing and operational efficiency.

Manage all phases of assigned projects from quoting through closeout, coordinating schedules, staffing, contractors, materials, budgets, safety, and client communication. Prepare status reports, maintain SharePoint documentation, lead meetings, handle RFIs/quotes/change orders, supervise staff, and ensure projects meet contract specifications and site safety requirements.

Drive revenue by identifying and managing leads, coordinating bids and job walks, building client relationships across pharmaceutical, life sciences, industrial and construction sectors, working with estimating and operations to win and execute large projects, and maintaining sales records and collections support.

Lead and execute integrated communications and brand strategy across internal and external channels. Develop content and thought leadership, manage PR and crisis communications, oversee digital and social media, ensure brand consistency, align leadership messaging, and build and lead a distributed communications team.

Manage daily cash receipts and account applications, research unapplied payments and disputes, monitor aging reports and collect outstanding balances, liaise with regional accounting teams, support month-end close and audits, assist AR integration for acquisitions, train team members, and provide front-desk and general administrative support.

Drive revenue growth by identifying and managing prospects, coordinating bids and job walks, building client relationships, working with operations and estimating teams, tracking large project opportunities from funding to close, monitoring market trends and competition, and supporting collections, reporting, and local client travel.

Coordinate accounting administration and operational functions including processing vendor invoices, AR/AP reconciliations, vendor setup, purchase orders, month-end close support, cash receipts, financial recordkeeping, and general clerical and front-desk duties. Work with regional and corporate accounting teams and assist with audits, financial analysis, and operational tasks as needed.

Coordinate accounting administration and operations, compiling data between job tracking and corporate accounting. Support AR/AP processes: process vendor invoices, reconcile employee card transactions, set up vendors, create POs, manage AR aging and collections, assist month-end close, handle cash receipts, and perform front-office and clerical duties.

Support sales staff by preparing quotes, work orders, purchase orders, and job packets; perform collections and document communications; coordinate order requirements with dispatch; maintain customer and project documents/spreadsheets; reconcile employee card transactions; act as liaison with accounting.
