Supports Yacht Managers and the Yacht Operations Department with administrative, reporting, accounting, insurance, budgeting, travel, crew documentation, visas, contracts, background checks, and crew insurance claims. Maintains yacht records, calendars, information sheets, owner reports, address books, and employment files. Provides reception and phone coverage while coordinating multiple priorities with accuracy, professionalism, and attention to detail.

Oversee technical procurement from requisition through delivery, including sourcing marine machinery, propulsion components, safety equipment, and navigation systems. Manage vetted suppliers, negotiate contracts, monitor compliance with maritime standards, coordinate global ship-chandler logistics and customs clearance, and resolve damaged or non-conforming deliveries. Analyze procurement data, prepare purchase orders, support internal stakeholders, and ensure timely deliveries aligned with vessel schedules.

Oversee daily purchasing and shipping activities, including sourcing suppliers, processing requisitions and purchase orders, ensuring policy compliance, resolving procurement issues, analyzing procurement data, and coordinating global order collection and delivery. The role requires strong communication, organization, problem-solving, attention to detail, ethical judgment, and collaboration with internal teams and external suppliers.

Produce monthly, quarterly, and annual management accounts for multiple UK entities and support consolidated Group accounts. Prepare journals, reconciliations, fixed asset registers, VAT returns, forecasts, budgets, cashflow, and intercompany reconciliations. Analyse variances, provide financial insights to business owners, support audits, and recommend improvements to systems and reporting.

Provide administrative support to the recruitment team: greet candidates, manage recruitment inbox and ATS, screen CVs, maintain candidate records, coordinate interviews and background checks, prepare candidate CVs and presentations, manage website/technical support issues, attend events, and assist with marketing and ad-hoc recruitment projects.
