Supports attorneys and clients with trust and estate administration, including probate coordination, asset valuation, tax return preparation and filing, fiduciary accountings, tax payments, beneficiary distributions, and estate termination. Serves as a primary contact for representatives, beneficiaries, advisors, and accountants; maintains financial records and coordinates family office services. Requires strong organization, confidentiality, communication, accounting, and technology skills.

Conduct daily conflicts research, run and analyze conflicts searches, identify potential conflicts, maintain conflicts database data integrity, and process electronic client and matter opening requests. Research corporate information using legal and business databases, communicate with attorneys and staff, manage multiple assignments and deadlines, and support conflicts-related projects independently or collaboratively.

Provide front-desk and hospitality services including answering phones, greeting guests, managing conference room and videoconference reservations, coordinating deliveries and mail, ordering catering, organizing office events, communicating with building management, and supporting miscellaneous administrative projects for attorneys and staff.

Manage client-specific billing rates and AFAs in systems (e.g., Aderant); act as SME for rate inquiries; ensure compliance with client billing guidelines; support audits; mentor junior staff; and collaborate with IT and Finance to improve reporting and automation.

Provide remote calendaring and docketing support for litigation and non-litigation matters using BEC Docket Enterprise. Research court rules, create and quality-check calendar entries and reports, attach relevant documents, communicate with attorneys/paralegals, train staff on docketing systems, and ensure compliance with firm calendaring policies to avoid missed deadlines.

Lead firm-wide strategy, AI adoption, and operational transformation projects: develop strategic analyses and plans, identify and deploy AI use cases, redesign cross-functional processes, manage multiple workstreams, and drive change and adoption with senior leaders across practices and departments.

Provide litigation support across all stages: prepare and e-file documents, manage case files and calendars, handle document review and e-discovery, retrieve subpoenas and third-party records, conduct factual research, draft correspondence, assist with trial preparation and attendance, and accurately enter time in billing systems.

Manage lateral attorney and student recruiting lifecycle for the firm: sourcing, candidate tracking, screening, references, background checks, conflict clearance, onboarding, and coordinating with HR and search firms. Support recruiting initiatives and assist leadership as needed.

Partner with transactional and advisory practices to identify AI and workflow improvements, lead pilots from design to adoption, build reusable AI-enabled tools (prompts, agents, playbooks), provide training and hands-on support, and drive client-facing innovation and firmwide scaling of AI solutions.

Partner with litigation teams to identify AI and process-improvement opportunities, lead pilots from design to adoption, build reusable AI-enabled playbooks and prompts, train and support lawyers on generative AI use, and advance client-facing litigation delivery strategies.
