Manages Qalam Seminary’s day-to-day institutional operations on behalf of the Associate Director. Responsibilities include tracking organizational goals, maintaining documentation and dashboards, coordinating cross-functional communication and meetings, following up on action items, identifying process improvements, and overseeing facilities operations, vendors, maintenance requests, and space usage. The role also develops SOPs, maintains records, and ensures operational data and priorities remain accurate, current, and effectively executed.

Provides IT and audio/visual support for classes, lectures, conferences, and community events. Sets up and troubleshoots displays, sound systems, presentation equipment, livestreaming, and recording systems; supports macOS and Windows users; manages event technology in real time; maintains equipment inventory; coordinates technical requirements; and documents recurring issues. Requires flexible evening and weekend availability, strong communication, multitasking, and the ability to work under pressure.

Manages student billing, deposits, invoices, payment plans, scholarships, work-study arrangements, tuition collections, refunds, and zakat stipends. Reviews scholarship and zakat applications, recommends awards, tracks payments and funding sources, prepares reports, maintains financial policies, and responds to student inquiries. The role also provides occasional support for registrar, admissions, and recruitment activities.
