Indexes and enters invoices into workflow software, performs filing and general office duties, and processes high-volume work accurately and efficiently. Provides support across accounts payable and other accounting functions. The role requires strong typing, 10-key, organizational, communication, and problem-solving skills, along with Microsoft Office proficiency and preferably experience with construction software such as JDE.

Plans and schedules industrial turnarounds using Primavera P6, CMMS/ERP data, construction drawings, job plans, resource hours, and activity codes. Develops detailed construction, pre-commissioning, startup, and PSSR schedules; tracks field progress, earned hours, forecasts, budgets, change orders, and contractor performance. Supports document retrieval, reporting, notifications, vendor manual compilation, configuration control, compliance reviews, and user inquiries. Ensures confidential and classified information is handled according to policy and utility-industry regulations. May improve processes, maintain procedures, coordinate activities, and train staff.

Manages document control operations for engineering projects, including EDMS administration, document intake, review, distribution, archiving, audit preparation, and supervision of document control team members across multiple projects.

Provides entry-level administrative and clerical support, including scheduling meetings, preparing correspondence and reports, recording minutes, managing records, coordinating office services, handling visitors and inquiries, arranging travel, processing expenses, and maintaining office policies and procedures. May supervise clerical staff and support executives, committees, and boards. Requires Microsoft Office proficiency, attention to detail, proofreading, editing, and strong communication skills.

Maintains accurate employee time and payroll records for a project site. Completes timesheets, labor distributions, payroll entries, wage calculations, adjustments, payroll reports, and payroll closing activities. Delivers paychecks, discusses time and pay adjustments with employees, maintains records, and follows safety and project requirements. Requires attention to accuracy, computer proficiency, knowledge of benefits and IRS requirements, and 1–2 years of timekeeping experience.

Provides technical support to end users by responding to phone, email, and personnel requests. Identifies, researches, documents, tracks, and monitors technical issues through resolution using established procedures and under direct supervision. The role supports day-to-day help desk activities, responds to customer needs, and escalates issues outside its area of knowledge.

Leads the mechanical engineering department for oil and gas and petrochemical EPC projects. Oversees team performance, staffing, budgets, schedules, quality, compliance, technical deliverables, piping design reviews, and client communications. Provides technical guidance, reviews and seals design documents, supports proposals and business development, coordinates with procurement, construction, and vendors, and develops team members.

Support business manager with contract administration and accounting tasks: prepare procurement documents, process AP/AR, review master agreements and certified payrolls, enter contracts into JD Edwards and PMIS/Access, create spreadsheets, perform light physical tasks and occasional local driving, work independently and collaboratively.

Record and verify daily crew work hours, classifications, and cost codes for rail/construction projects; enter time into payroll/project systems; ensure compliance with union agreements and labor laws; resolve discrepancies with supervisors/HR; produce labor cost reports and support scheduling and onboarding.
