Provides welcoming front desk and customer service support for members, guests, visitors, and program participants. Responsibilities include greeting and assisting visitors, check-in and check-out, facility access, membership support, POS transactions, phone and email communication, data entry, record keeping, concern resolution, inventory and towel distribution, and collaboration with multiple departments. The role is part-time, in-person, and requires flexible availability for evenings, weekends, holidays, and a Sunday-Thursday schedule.

Manage the full lifecycle of government and institutional grants: tracking, compliance, invoicing, reporting, and documentation. Coordinate with Development, Finance, and Program teams on budgets, reconciliations, and proposal materials. Maintain grant records, support audit readiness, contribute to Salesforce and development operations, and help prepare funder-facing reports and budgets. Strengthen internal systems for institutional giving data and ensure timely, accurate submission of grants and invoices.

Coordinate Asphalt Green's external events, partnerships, and community outreach. Support event logistics, lead capture and CRM updates, media tracking, outreach materials, and administrative tasks. Serve as an on-site ambassador, maintain partner and media lists, create post-event reports, and collaborate with internal teams to ensure consistent, on-brand external engagement.

Coordinates workforce operations for multi-site community aquatics programs, including recruitment, hiring, onboarding, NYC Public Schools PETS clearance, payroll, certifications, training, communications, and readiness tracking. Maintains operational systems, workflows, SOPs, and employee records; supports staffing decisions, program launches, site transitions, and on-site operational needs. Partners cross-functionally with HR, Payroll, supervisors, and aquatics leadership while providing employee support and ensuring compliant, organized, uninterrupted programming.

Build, test, and deploy scalable Salesforce solutions. Develop Lightning Web Components and Apex (including asynchronous processes), extend managed packages, support integrations, write tests, assist UAT and system testing, manage data imports and hygiene, provide user training and documentation, and help improve source control and CI/CD practices.

Provides high-volume administrative support for community aquatics programs, including scheduling, Salesforce configuration, school onboarding, participant registration, family and school communications, data maintenance, reporting, grant support, invoicing, purchasing, inventory, and cross-functional coordination. The role ensures accurate records, timely deliverables, effective program launches, and responsive support for schools, participants, families, and internal teams.

Serve as primary writer for Development, producing donor-facing fundraising and stewardship materials (appeals, reports, event copy, briefings). Coordinate cross-departmental inputs, manage content calendars and review cycles, track deadlines, synthesize program data and stories, and support campaigns and events to strengthen donor engagement and fundraising outcomes.
