Coordinate charter, private, and air ambulance flights including logistics, customs documentation, catering and lodging, client communication, and post-flight invoicing. Supervise Assistant Coordinator, ensure regulatory compliance, and manage supplier account closings and flight operations tasks under the Assistant Director of Operations.

Provide executive and administrative support to the VP of Operations, manage communications with aircraft owners, coordinate maintenance and operational follow-ups, and oversee cross-functional projects. Maintain project tracking tools, prepare reports and meeting minutes, and ensure deadlines and client requirements are met while supporting continuous improvement of processes.

Coordinate charter, business and air ambulance flight operations as primary client contact. Supervise assistant coordinator; arrange air/ground transport, customs, catering and hotels; request documents, perform data entry, follow up on invoices and purchase orders, and close supplier accounts. Ensure regulatory and customs compliance and perform other flight coordination tasks as required.
