Generate new facility service and management agreements by prospecting, cold calling, qualifying leads, meeting clients, assessing needs, preparing proposals and contracts, pricing agreements, coordinating start-up, and maintaining CRM and sales records while meeting sales targets.

Provide administrative and regional support to the Corporate HSE team, maintain HSE management system documentation and subcontractor prequalification portals, organize meetings and training records, assist with reports, system monitoring, and HSE communications, and support continuous improvement of health, safety and environmental processes.

Work collaboratively with project managers, field personnel, and the admin team to ensure accurate project and payroll records.

Provide procurement administration including creating and maintaining purchase orders and vendor records; monitor transactions, resolve invoice/receiving discrepancies, prepare reports, ensure compliance, and deliver front-desk and administrative support.

Lead monthly and quarterly FP&A deliverables, manage and coach two analysts, standardize templates and workflows, prepare executive-ready reporting and variance analysis, support long-range planning, BI integration, OneStream enhancements, and provide backup treasury support.

Support project managers in planning and delivering mechanical ICI construction projects. Duties include scheduling, budget tracking, change orders, subcontractor coordination, document control with Procore, shop drawing reviews, contract administration, quality and safety support, site visits, O&M manual preparation, and independently managing smaller projects.

Responsible for full accounts payable cycle: high-volume invoice data entry and matching, weekly disbursements (cheque/EFT), vendor account management, month-end reconciliations, cost coding, responding to inquiries, cashflow prioritization, and support for year-end accruals and audits.

Serve as front-line office contact: manage switchboard, greet visitors, handle mail/couriers, schedule boardrooms, perform clerical tasks (filing, typing, basic accounting, AP support), maintain office supplies and equipment, manage social media/Litmos postings, assist onboarding and asset tracking, and support office events.
