Provide high-level administrative and operational support to the Operations Division and leadership, managing scheduling, events, vendor accounts, supplies, file and policy management, safety and compliance tracking, CMMS maintenance, credentialing workflows, meeting coordination, and confidential communications. On-site M-F in St. Paul.

Prepare and turn over exam rooms, stock and rotate supplies, maintain cleanliness in waiting and work areas, assemble clinic-specific supplies, assist with phone calls, scheduling, clerical tasks, and support supervised patient care as needed to ensure smooth clinic operations.

Designs, delivers, and maintains global IT end-user training and onboarding for Microsoft 365 and enterprise platforms. Produces multi-format training content, manages knowledge base articles in ServiceNow, analyzes support trends to identify training gaps, and supports adoption and change management initiatives while ensuring documentation rigor in an FDA-regulated environment.

Provide clerical support to the program director and staff including reception, data entry, case file management, purchasing, budget tracking, travel coordination, community outreach, client follow-up, and 24-hour on-call services while ensuring compliance with agency, state, and federal requirements.

Provide Level 2 technical support for escalated issues (local and remote), document troubleshooting in FreshService, assist with IT projects and infrastructure upgrades, administer workstations, troubleshoot networks/VPNs and firewalls, perform software testing and installations, and train end users.

Support sales and customer success by preparing and processing contracts and proposals, ensuring SOX/SOC1 compliance, validating bookings and revenue, maintaining CRM data integrity, coordinating approvals and signatures, managing offboarding and billing tasks, and identifying process improvements and automation opportunities.

Lead operational governance and continuous improvement for the ERAS product suite. Own onboarding, registration, account lifecycle, compliance, escalation triage, and financial/transaction support. Document SOPs and business rules, run cycle readiness and launch checklists, coordinate cross-functional stakeholders, monitor operational metrics, and execute process optimizations to ensure smooth high-volume application season operations.

Lead a centralized administrative function of ~70 professionals supporting 3,000 scientists. Define organizational design and strategic vision, partner with executives on operational effectiveness, implement modern training and AI-enabled tools, manage staffing and budgets, drive inclusion and career development, and foster a high-performing administrative community aligned with scientific goals.

Handle and approve transportation service requests and standing orders, investigate exceptions and customer service issues, assist with verifications, denials/appeals, audits, billing/utilization reviews, and support management with administrative tasks under supervision.
