The Project Coordinator supports simple to moderate projects related to UL's internal document control system, ensuring documents, reports, and records are managed in compliance with applicable SOPs. This role focuses on document workflows, user support, and coordination activities with limited supervision.
This is a hybrid position based in São Paulo or Mexico City.
RESPONSIBILITIES
- Manage document workflows (creation, revision, approval, obsolescence) in accordance with SOPs
- Review documents for formatting, version control, and compliance
- Support internal users by responding to inquiries, resolving issues, and guiding proper document control practices
- Coordinate assigned project activities, monitor progress, and recommend updates when needed
- Assist with user training on department applications and document control processes
- Support system testing and scheduled deployments, including quarterly weekend testing (with compensatory time off)
- Prepare basic reports and visual summaries
- Identify opportunities for process improvement and efficiency
- Comply with UL Code of Conduct and physical/digital security practices
- Perform other related duties as assigned
QUALIFICATIONS
- High school diploma required; some university education in Business Administration or related field preferred, or equivalent experience
- Strong attention to detail and organizational skills
- Ability to work independently, prioritize tasks, and manage multiple activities
- Excellent communication skills; professional English proficiency (written and verbal) required
- Working knowledge of Microsoft Word and Excel
Preferred Qualifications
- Experience in document control, project coordination, or structured process environments
- Technical aptitude and ability to learn new systems quickly
- Experience with Power BI or similar reporting tools
