The Opportunity
The Executive Assistant is responsible for providing a high level of administrative support to the Senior Vice President, Finance & Risk Management Technology as well as providing assistance to other leadership roles within the organization. This position requires excellent organizational skills, attention to detail, flexibility and the ability to prioritize workload and multi-task in an environment that requires frequent change. This individual must be able to work independently with minimal supervision and demonstrate excellent interpersonal and communication skills, both verbal and written. The individual is expected to maintain confidentiality and exhibit a high level of discretion and professionalism.
Key Responsibilities
Administrative Responsibilities:
- Manage Microsoft Outlook calendar, inbox, and address books
- Schedule and coordinate meetings/conference calls; prepare related materials/correspondence; print materials
- Manage travel, calendar management, expense reporting, catering, meeting/town hall logistics, organizational charts, and distribution lists
- Handle confidential/sensitive information
- Arrange and coordinate complex travel itineraries
- Assist in the preparation and/or coordination of presentations, reports and spreadsheets by preparing and editing text, slides and other materials
- Assist with supply ordering, moves, facilities requests, security requests, etc.
Invoices Responsibilities:
- Process expense reports and vendor invoices for reimbursement/payments and reconciliation
- Interface with the team and clients at all levels of the organization, both within and outside of the company
- Maintains documents and records following administrative policies
Required Qualifications
- Must be commutable distance to Tampa FL ONLY
- 10+ years of related experience.
- Strong PC skills, including high proficiency in Microsoft Office Suite: Outlook, PowerPoint, Word, Excel, WebEx and internet skills.
- Extremely organized and detail oriented.
- Exceptional customer service capabilities. Demonstrated ability to work to a high-quality standard.
- Outstanding attention to detail with good follow-up skills, proactive, stays ahead of requests.
- Excellent organizational and time management skills; Calendar/schedule management.
- Well-developed written, communication and inter-personal skills; demonstrating an ease with interacting professionally - at senior levels - within and across functional teams.
- Must be able to multi-task with a keen eye to detail and handle heavy flow of incoming and outgoing requests for meetings or information.
- Self-starter: ability to independently anticipate needs, look ahead, plan for contingencies, manage concurrent tasks, prioritize tasks and follow-up; Ability to recognize opportunities to improve and stream-line processes.
- Discretion in handling confidential materials/information.
- In order to post for this position, you need the proper work authorization to work in the country where the position is located and not require relocation assistance.
Preferred Qualifications
- Experience supporting multiple senior executives
- Advanced calendar strategy and executive time optimization capabilities
- Experience preparing executive-level presentations, materials, and communications
- Experience coordinating complex travel, events, and cross-functional meetings (including hybrid/global teams)
- Strong stakeholder management across senior leadership and cross-functional partners
- Experience providing light project coordination or supporting strategic initiatives
- Bachelor's degree or equivalent professional experience
Location Expectation: This is a hybrid role requiring a minimum of 3 days per week in office.
The expected salary range for this position is $54 ,200 - $78,000 . This role may also be eligible for annual short-term incentive compensation. All incentives and benefits are subject to the applicable plan terms.
