The Opportunity:
The Sales Administrator plays a pivotal role in driving efficiency and supporting revenue growth within our Cybersecurity software sales team. This individual provides comprehensive support to the EMEA Sales department, ensuring the seamless execution of sales activity. By taking ownership of ad-hoc account analysis and reporting requirements, and the administration of both automated and manual billing processes, the Sales Administrator enables the sales team to focus on building client relationships and closing deals in a fast-paced environment.
 
Key Responsibilities:
  • Account Portfolio Analysis: Collaborate with Account Managers to analyse account portfolios, identifying whitespace opportunities, renewal risks, and up-sell/cross-sell targets for our cybersecurity solutions.
  • Campaign Data Preparation: Extract, clean, and format target lists and contact data from our CRM databases to ensure accurate and effective outreach for sales campaigns.
  • Ad-Hoc Reporting: Respond promptly to reporting requirements from Account Managers and sales leadership, creating customised reports to track pipeline health, engagement metrics, and sales performance.
  • Automated Billing Management: Oversee and manage the automated billing processes and recurring software licenses, ensuring all scheduled invoices are generated accurately.
  • Manual Billing Administration: Administer manual billing processes for bespoke recurring licensing contracts, ensuring strict compliance with negotiated contract terms.
  • Data Integrity: Maintain rigorous data hygiene within the CRM, ensuring all account details, billing contacts, and opportunity records are up-to-date and accurate.
Job Qualifications:
  • Experience: 2+ years of experience in sales administration, sales operations, order management, or a similar administrative role, preferably within the software, SaaS, or cybersecurity industry.
  • Technical Proficiency: Strong experience with Salesforce and Google Workspace applications.
  • Analytical Acumen: Excellent analytical skills with advanced proficiency in Microsoft Excel / Google Sheets (e.g., VLOOKUPs, INDEX/MATCH, Pivot Tables, data manipulation).
  • Attention to Detail: Exceptional attention to detail, specifically regarding data entry, contract review, and billing data processing.
  • Organisation: Highly organised with the ability to manage multiple concurrent tasks, prioritize effectively, and meet tight deadlines in a fast-paced environment.
  • Communication: Strong written and verbal communication skills to liaise effectively with Account Managers, the Finance department, and occasionally external clients regarding billing inquiries.
  • Accountability and Performance Measures
    • Billing Accuracy: Successful execution of both manual and automated invoicing with a near-100% accuracy rate.
    • Timeliness: Adherence to strict SLAs for fulfilling ad-hoc reporting requests and delivering prepared data.
    • Data Quality: Measurable improvement and maintenance of data cleanliness and integrity within the CRM platform.
    • Internal Stakeholder Satisfaction: Positive feedback from Account Managers and sales leadership regarding the quality, proactivity, and reliability of administrative support provided.
