What The Role Is

This role keeps Babylist Health’s billing operations moving and serves as the on-site anchor for our physical office. You’ll blend revenue cycle support — processing and routing critical billing documents accurately and on time — with the day-to-day of running the office. You’ll be the in-person point of contact, working closely with remote teammates and outside partners to keep people, paperwork, and place connected. It’s hybrid in title, but the on-site presence is real: you’re on-site at our Severna Park, MD office (just outside Baltimore) five days a week during business hours (EST). If you like being the dependable person who keeps things running and enjoy a mix of billing support and office ops, this is a strong fit.

Who You Are

  • You can run the operational backbone of an office — sorting and routing mail and documents, uploading paperwork accurately, and keeping daily workflows on track.
  • You’re available on-site at our Severna Park, MD office, five days a week during standard business hours (EST) — you’re the in-person anchor for the office, so consistent presence is essential.
  • You’re detail-oriented and trustworthy with sensitive information — billing documents and confidential data pass through your hands, and accuracy and discretion are non-negotiable.
  • You’ve worked in administrative, operations, or office support roles — healthcare or insurance billing exposure is a plus, not a requirement.
  • You’re quick with digital document, mail, and call tools like Niko, Earth Class Mail, and Aircall — or a fast learner who’ll be fluent in weeks.
  • You’re a clear, kind communicator who keeps remote teammates and external partners in the loop.
  • You’re proactive and flexible — you spot what needs doing and pitch in without being asked.
  • You naturally reach for AI in your work — at Babylist, every team uses AI daily. You’re already using it to move faster and improve your output, and you stay curious about what’s coming next.

How You Will  Make an Impact

  • Support daily billing and revenue cycle workflows so operations stay timely and accurate.
  • Open, sort, and prioritize incoming mail and documents — routing or uploading each to the right place.
  • Upload and manage required documentation in Niko with care.
  • Flag urgent items, discrepancies, and issues, and escalate them to the right partners.
  • Serve as the primary on-site point of contact and keep day-to-day office operations running smoothly.
  • Answer live calls via Aircall during office hours, return voicemails promptly, and direct callers to the right people.
  • Monitor incoming communications and respond or route as needed.

Why This Role

  • You’re the connective thread between people, paperwork, and place — visible, relied on, and central to how the office runs day to day.
  • It’s a genuine blend of revenue cycle exposure and office operations — a strong on-ramp if you want to grow in healthcare ops.
  • Babylist Health is a small, growing team, so your reliability is felt right away and your ideas for smoother workflows actually land.
