- The Executive Assistant provides comprehensive administrative and operational support to senior executives, ensuring seamless business operations and enabling leadership to focus on strategic priorities. This role requires exceptional organizational skills, discretion, and the ability to anticipate needs in a dynamic environment.
- Proactively manage complex calendars, including scheduling meetings, appointments, and travel arrangements across multiple time zones.
- Coordinate and prepare agendas, materials, and logistics for meetings, conferences, and presentations.
- Take minutes during meetings, track action items, and ensure timely follow-up.
- Serve as the primary point of contact between executives and internal/external stakeholders.
- Draft, proofread, and edit emails, letters, reports, and presentations.
- Screen and prioritize incoming communications, responding on behalf of the executive as appropriate.
- Arrange detailed travel itineraries, including flights, accommodations, ground transportation, and visas.
- Prepare and process expense reports, reimbursements, and credit card reconciliations.
- Monitor travel budgets and ensure compliance with company policies.
- Support special projects by conducting research, compiling data, and preparing reports.
- Plan and coordinate company events, offsites, and team-building activities.
- Track project timelines, deliverables, and deadlines.
- Maintain confidential files, records, and databases.
- Order office supplies and manage vendor relationships as needed.
- Assist with onboarding of new staff and training on administrative procedures.
- Anticipate executive needs and proactively address issues before they arise.
- Handle sensitive information with the highest level of confidentiality and professionalism.
Qualifications
- 5+ years of experience supporting C-suite or senior executives.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools (e.g., Webex, Teams).
- Bachelor’s degree preferred; relevant experience may substitute
Experience with travel booking platforms and expense management systems.
