What we need:
We are seeking a highly organized, proactive, and energetic Workplace Manager to support and oversee the day to day operations of our Denver headquarters as well as 3 other domestic and 1 international location. This role also has Human Resources projects accountabilities and some limited Executive support. This hybrid role (3 days a week in our DTC headquarters) requires a dynamic individual who thrives in a fast-paced environment, excels at multitasking, and is passionate about creating a productive and welcoming workplace.
What you will do:
Office Management:
  • Oversee all aspects of office operations, including employee access, supplies, vendors, maintenance, and space planning for all locations.
  • Ensure the office environment is clean, organized, and conducive to productivity.
  • Manage relationships with building management and service providers.
  • Coordinate onsite events, meetings, and team gatherings including conference room and food scheduling.
  • Support onboarding of new employees with workspace setup and office orientation.

Human Resources:
  • Run the Synergy Squad. Samba's version of a culture team who plans several events at each location throughout the course of the year.
  • Assist in producing employee offer letters, run background screenings, craft new hire welcome emails, complete I9 verification, and facilitate first day orientations.
  • Run our peer-to-peer recognition online application (AwardCo), develop quarterly recognition themes and awards, support our All Hands meetings, and schedule our Samba Summer Internships and New Hire Virtual Welcomes.
  • Maintain our SambaSafety internal driver platform, participate in SOCII audits, and update our corporate intranet (STAN).

Executive Support
  • Manage complex calendars, schedule meetings, appointments, and travel for Executive Leadership.
  • Coordinate internal and external meetings, including logistics, agendas, and follow-ups.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Handle confidential information with discretion and professionalism.
  • Act as a liaison between executives and internal/external stakeholders.
  • Submit expense reports as needed

What you bring:
  • Proven experience (3+ years) as an Office Manager and/or onsite Executive Assistant
  • Strong attention to detail, excellent written and verbal communication skills, ability to multi-task, exceptional time management skills, and self motivation
  • Proficiency in the Microsoft Office Suite and calendar management (ie Outlook)
  • Ability to work both independently and collaboratively as part of a fast paced high functioning team
  • High desire to assist and support others. Friendly, problem-solving attitude. High level of discretion and professionalism

Preferred qualifications:
  • Experience with Microsoft Teams, ADP HRIS, Lattice, Sharepoint
  • Working knowledge of Human Resources

Where you will work:
  • This role is based in the Denver Tech Center (DTC) area roughly 15 minutes south of Denver
  • Must work in the Denver headquarters at a minimum of 3 days per week. 5 days per week is most ideal.
