What the Role Is

Babylist is looking for a Vendor Operations Specialist II to own the day-to-day non-compliance ticket workstream for an assigned vendor portfolio, keeping issue status, reason codes, and dollar amounts accurate so the team can trust the data behind vendor decisions. You’ll resolve issues directly with vendors, including UPC and labeling problems that need to be sorted out to keep fulfillment centers moving, and close the loop with Operations and Merchandising on non-compliance outcomes. As you grow in the role, you’ll take on more of the portfolio’s data and performance story: analyzing compliance trends, preparing KPI scorecards shared with internal teams and vendor partners, and escalating patterns to the Senior Vendor Operations Specialist with supporting data. You’ll also support pieces of vendor onboarding as needed. This role sits within the Supply Chain team, reports to the Inventory Control & QA Operations Manager, and works directly with Planning, Transportation, Accounting, Merchandising, Order Management, EDI, and fulfillment partners.

Who You Are

  • Able to own a high-volume non-compliance ticket queue with accuracy: you keep issue status, reason codes, and dollar amounts correct across dozens of open tickets so the team can trust the data behind vendor decisions
  • Comfortable being the primary point of contact for vendor communication on compliance issues: you’re the one emailing and calling vendors to resolve routing deviations, mis-ships, and labeling problems, day in and day out
  • Comfortable working daily in Google Sheets and Microsoft Excel: this is where the job actually happens, compiling vendor data templates, updating ticket trackers, and spotting errors before they go out the door
  • Direct cross-functional communicator: you close the loop with Ops and Merch on non-compliance issues yourself
  • Open to growing into portfolio-level ownership over time: analyzing vendor compliance trends and contributing to KPI scorecards as you build context in the role
  • Comfortable supporting pieces of vendor onboarding as needed, without owning the process end to end
  • 3–5 years in vendor operations, inbound logistics, supply chain coordination, or any role that required high-volume vendor communication and accurate issue tracking
  • Comfortable owning a defined scope with minimal oversight, you make decisions within your lane and escalate the right things, not everything
  • You naturally reach for AI in your work — at Babylist, every team uses AI daily. You’re already using it to move faster and improve your output, and you stay curious about what’s coming next.

How You Will Make An Impact

  • Own the day-to-day non-compliance ticket workstream for your portfolio: keep issue status, reason codes, and dollar amounts accurate so the team can trust the data behind vendor decisions
  • Serve as the primary point of contact for high-volume vendor communication on compliance issues, from routing deviations to mis-ships, following up until every thread resolves
  • Resolve UPC and labeling issues directly with vendors to unblock fulfillment centers
  • Close the loop with Operations and Merchandising on non-compliance outcomes directly
  • Pursue credit memos on open discrepancies so financial impact is recovered
  • Support pieces of vendor onboarding as needed, working from the Senior Vendor Operations Specialist’s established playbook
  • Analyze vendor compliance trends and prepare KPI scorecard metrics shared with internal teams and vendor partners as you grow into owning your portfolio’s performance story
  • Funnel consolidated portfolio KPIs and trend data to the Senior Vendor Operations Specialist for network-level performance reporting
  • Surface process improvement proposals based on your portfolio data, bringing the idea and evidence to the Senior Vendor Operations Specialist

Why This Role

  • You’ll build real vendor operations fluency fast: this role is the primary point of contact for compliance issues across a live portfolio, not a queue you’re shielded from
  • You’re trusted to communicate directly with Merchandising, Operations, and vendor partners on the issues in your queue
  • As you build context in the role, you’ll grow into owning your portfolio’s data and performance story, the natural next step toward Senior Vendor Operations Specialist
