What you get to do:
- Strategic Support:
- Collaborate with the CTO and leadership to define, communicate, and track progress toward strategic goals across product and engineering.
- Support and help lead roadmap planning cycles, ensuring coordination across functions, alignment with company goals, and clear decision-making frameworks.
- Conduct research, analyze industry trends, and provide insights to the CTO to support decision-making and drive innovation.
- Project and Program Management:
- Drive execution of critical projects across the CTO org, including complex cross-functional initiatives and high-stakes deliverables.
- Establish project management frameworks, monitor progress, and manage risks and dependencies across various teams and stakeholders.
- Work closely with Product and Engineering leaders to track product roadmap items, ensure visibility on progress, and surface risks/blockers early.
- Maintain dashboards and reporting on key product and delivery KPIs, helping inform leadership decisions and track performance over time.
- Operations Resource Management:
- Maintain and improve systems and tools (e.g., Jira, Aha!, dashboards) for visibility, prioritization, and alignment across the org.
- Streamline operational processes within the technology org, identifying areas for improvement and implementing best practices, leveraging AI where applicable.
- Coordinate with other departments to ensure seamless cross-functional collaboration and alignment.
- Manage resource allocation, including personnel, budget, and equipment, to maximize productivity and optimize resource utilization.
- Partner with Finance to support budgeting, audit compliance and resource planning.
- Communication and Stakeholder Management:
- Serve as a trusted advisor to the CTO, providing insights, preparing briefings, and facilitating effective communication with internal and external stakeholders.
- Own the preparation, facilitation, and follow-up for key meetings, including CTO staff meetings, cross-functional syncs, roadmap reviews, and all-hands. Keep the trains running.
- Act as a liaison between the CTO and various teams, fostering strong relationships and ensuring clear communication channels.
- Craft and coordinate communications on behalf of the CTO, including presentations, executive updates, and org-wide messages.
- Plan and execute on-site events and offsites for the technology org and the company — including agenda design, logistics, and follow-up actions.
- Represent the CTO in meetings, conferences, and other events, as required.
- Strategic Initiatives and Special Projects:
- Lead and support strategic initiatives as directed by the CTO, such as exploring new technologies, partnerships, or expansion opportunities.
- Conduct research, prepare business cases, and provide recommendations to drive innovation and growth.
- Manage special projects as assigned, collaborating with cross-functional teams to achieve desired outcomes.
What you bring to the role:
- 5–8+ years of experience in tech, preferably in business operations, program management, or product ops roles.
- Bachelor's degree in a relevant field; advanced degree preferred.
- Proven experience in a similar role, preferably as a Chief of Staff, to a C-level executive or senior leadership team, ideally a CTO or a CPO.
- Strong understanding of technology and software development processes within a startup or high-growth environment. (Agile, OKRs, Technology/Product Roadmaps etc.).
- Strong program/project management skills with experience supporting or partnering with engineering and product teams.
- Expert in tools like Jira, Aha!, or other PPM (Project Portfolio Management) platforms.
- Exceptional analytical and problem-solving abilities, with the capacity to translate data into actionable insights.
- Comfortable with financial and audit-related workflows, budgeting, and headcount/resource planning.
- Outstanding communication and interpersonal skills, with the ability to engage and influence stakeholders at all levels.
- Strong leadership qualities, including the ability to motivate and inspire teams, foster collaboration, and drive results.
- High level of discretion, integrity, and confidentiality in handling sensitive information.
- Highly organized, proactive, and comfortable operating in ambiguity.
- Strong EQ, high integrity, and the ability to build trust at all levels of the organization.
