The Recruitment Operations Administrator supports the day-to-day operations of the Talent Acquisition function by ensuring recruitment processes, systems, reporting, and documentation are accurate, organized, and efficient. This role is responsible for administering job advertisements, sourcing support, recruiter onboarding, system licenses, reporting, and recruitment marketing operations to help drive a consistent and high-quality recruitment experience.
Responsibilities:
- Administer job advertisements by publishing, auditing, and maintaining postings while tracking job attraction performance and supporting recruitment campaigns.
- Support sourcing activities by creating sourcing assets, Boolean search strings, outreach templates, and maintaining sourcing documentation and performance reports.
- Manage recruitment system licenses, user inventories, approved access changes, and utilization reporting.
- Coordinate recruiter onboarding, including account setup, onboarding materials, checklists, and training completion tracking.
- Perform quality assurance on recruitment dashboards, investigate data discrepancies, prepare recurring reports, and maintain reporting documentation.
- Maintain recruitment marketing templates, SharePoint resources, SOPs, and operational documentation while supporting localization and other operational requests.
- Bachelor's degree in Human Resources, Business Administration, Marketing, Communications, or a related field.
- 2–4 years of experience in recruitment operations, recruitment coordination, HR administration, shared services, or a similar administrative role.
- Experience using Applicant Tracking Systems (ATS), recruitment tools, HR systems, or similar platforms.
- Proficient in Microsoft Office, particularly Excel, and document management tools such as SharePoint.
- Familiarity with Boolean search techniques, recruitment reporting, and maintaining accurate documentation is an advantage.
- Strong organizational, analytical, and time management skills with excellent attention to detail and data accuracy.
- Excellent written and verbal communication skills with the ability to manage multiple tasks and work effectively in a fast-paced environment.
