At Trucordia, we’re looking for a Front Desk Receptionist who enjoys creating a warm and welcoming experience for every client and visitor. In this role, you’ll frequently serve as Trucordia’s first in‑person representative, embodying our values and professionalism through genuine care and attentive service. You’ll handle a variety of administrative tasks while helping clients feel comfortable and supported. If you enjoy helping others, staying organized, and being part of a friendly, collaborative team, you’ll thrive here at Trucordia.
Duties and Responsibilities:
- Greet and assist clients, visitors, and vendors in a courteous and professional manner while maintaining an organized reception area.
- Answer, screen, and direct incoming phone calls using a multi-line phone system.
- Handle incoming and outgoing mail, packages, and courier deliveries.
- Schedule appointments, manage the office calendar, and support client intake processes.
- Maintain confidentiality and securely handle sensitive client information in accordance with company policies.
- Provide general administrative support, including preparing documents, photocopying, scanning, filing, and data entry.
- Assist with meeting coordination, including preparing rooms, materials, refreshments, and maintaining office and breakroom supplies.
- Follow office protocols, support basic operational needs, contribute to team meetings, and perform additional tasks assigned by the Administrative Assistant.
- High school diploma or equivalent required; additional administrative training or coursework preferred.
- 1–2 years of reception or administrative experience in a professional office environment.
- Experience in insurance, financial, or legal settings is preferred.
- Professional demeanor with strong interpersonal and communication skills.
- Proficiency in Microsoft Office Suite, including Word, Outlook, and Excel.
- Strong organizational skills and exceptional attention to detail.
- Ability to multitask, prioritize tasks, and manage time effectively in a busy environment.
- Dependable, punctual, and able to handle confidential information with discretion.
