At Vocus, we're connecting Australia through technology and infrastructure that matters. Behind every great customer and employee experience is a strong People & Culture team, and we're looking for a detail-oriented People Operations Project Administrator to support an important employee records migration project.

This is an excellent opportunity for someone early in their HR career, currently studying Human Resources, or recently graduated and looking to gain practical experience within a People & Culture team. You'll work closely with our People & Culture Operations Lead, supporting the review, organisation and migration of employee records while developing a solid understanding of People Operations processes.

About the Role

This project-focused role combines foundational HR administration with document management, file migration and quality assurance activities. You'll play a key role in ensuring employee records are accurately maintained, securely stored and aligned with organisational standards.

Success in this role requires strong attention to detail, the ability to work methodically through high-volume tasks, and an understanding of the employee lifecycle, including the documentation generated throughout an employee's journey with the organisation.

What you'll be responsible for

  • Review employee records against established checklists, naming conventions, filing structures and retention requirements.
  • Migrate employee documentation across approved storage locations, including network drives and SharePoint.
  • Verify records are correctly filed against the appropriate employee and lifecycle event.
  • Identify and resolve, or escalate, missing, duplicated, misfiled or incomplete documentation.
  • Recognise and manage common People & Culture documentation, including:
        • Employment contracts

        • Contract variations

        • Onboarding documentation

        • Remuneration and position change records

        • Leave-related documentation

        • Employee exit records

  • Maintain migration trackers, issue logs and project records.
  • Conduct quality assurance checks to ensure records are complete, readable, correctly named and stored appropriately.
  • Support general People Operations administration activities, including electronic filing, document preparation and data validation.
  • Independently complete allocated work while adhering to agreed quality standards.
  • Handle confidential employee information with discretion and in accordance with privacy and security requirements.
  • Contribute ideas and recommendations to improve filing structures, processes and project efficiency.

What you'll bring to the role

You are organised, reliable and enjoy working with detail. You're comfortable navigating systems and files, can follow established processes, and have the confidence to raise issues when something doesn't look right.

  • A general understanding of the employee lifecycle and employment documentation.
  • Experience in HR, People Operations, payroll, administration or records management, or current/recent study towards an HR qualification.
  • Strong digital literacy and confidence working with folders, network drives, SharePoint and document management processes.
  • Experience using Microsoft 365 applications including Outlook, Teams, Word, Excel and SharePoint.
  • Experience with Dayforce or another HRIS/HCM platform (desirable but not essential).

Skills & Attributes

  • Strong critical thinking and problem-solving skills.
  • Exceptional attention to detail and commitment to accuracy.
  • Ability to quickly learn processes and work independently.
  • Strong organisational skills and consistency when managing repetitive tasks.
  • Sound judgement and escalation skills.
  • Clear written and verbal communication skills.
  • Professionalism and discretion when handling sensitive information.
  • Collaborative approach and ability to work effectively within a national team.

Working Arrangements

  • Location flexibility across Melbourne or Sydney.
  • Flexible daily start and finish times by agreement.
  • Comprehensive training and onboarding support provided.
  • Hybrid work arrangements may be available following initial training, subject to project requirements.
  • Candidates must be available through to mid-January 2027.
  • No work is expected on public holidays or agreed company shutdown days during the Christmas and New Year period.
