The Project Coordinator supports the COO Office by managing documentation, meetings, tracking, and reporting for global transformation, operating model, and process optimization initiatives. The role ensures strategic change projects remain organized, visible, and on schedule, while actively documenting operational workflows, key decisions, project dependencies, and implementation actions across the business.
Responsibilities:
- Coordinate COO Office projects and workstreams across operating model design, business process improvement, organizational change, digital transformation, and strategic operational initiatives.
- Maintain comprehensive project governance toolkits, including project plans, action trackers, milestone registers, RAID logs, decision logs, benefits realization trackers, responsibility matrices, and implementation checklists.
- Support target operating model projects by facilitating workshops and coordinating follow-up actions relating to service delivery models, end-to-end process design, organizational structure, sourcing strategies, and governance framework requirements.
- Support core business system upgrades and operational tool deployments through cross-functional meeting coordination, vendor management, user acceptance testing schedules, training logistics, and deployment checklists.
- Manage project cadences by scheduling meetings and workshops, preparing strategic agendas, capturing actionable minutes, and rigorously tracking dependencies, decisions, and deadlines.
- Facilitate cross-functional collaboration by synthesizing input from Operations, Finance, IT, Compliance, external vendors, and key senior stakeholders.
- Drive operational documentation standards by supporting the creation and maintenance of Standard Operating Procedures, operational guidelines, service standards, workflow maps, and executive project reports.
- Manage third-party and vendor deliverables, tracking contract milestones, security compliance actions, resource access decisions, and operational implementation dependencies.
- Conduct operational and digital research, producing comparison tables, vendor evaluations, and impact analyses to support business cases, scenario planning, and executive decision-making.
- Champion change management and operational readiness, coordinating user training, capturing post-go-live feedback, managing early-stage issue resolution, and ensuring seamless handovers into daily business operations.
Qualifications:
- 5+ Years of Experience in project coordination, project administration, PMO support, operations support, or business-focused executive support within a fast-paced corporate environment.
- Excellent organisation, follow up, scheduling, documentation and task management skills.
- Experience supporting operating model designs, business process improvement, organizational change initiatives, or cross-functional business tool and system deployments.
- Strong stakeholder management skills, with the ability to collaborate with and coordinate external vendors, operational teams, corporate functions (such as Finance and IT), and senior leadership.
- Good working knowledge of Microsoft Word, Excel, PowerPoint, Teams, SharePoint and project tracking tools.
- Awareness of confidentiality, secure document handling, access control and technology project governance.
- Strong written English and ability to prepare accurate minutes, action logs, reports and project documents.

Skills Required
