Procurement & Logistics Coordinator

Role Summary
The Procurement & Logistics Coordinator is responsible for ensuring timely, cost-effective sourcing of goods/services and smooth movement of materials from supplier to end user. You’ll be the link between suppliers, internal departments, warehouses, and transport providers to keep operations running without interruption.
Key Responsibilities
1. Procurement
- -Source suppliers, request quotations, and compare pricing, quality, and lead times.
- Prepare and issue Purchase Orders, track order confirmations and deliveries.
- Negotiate terms with vendors to achieve best value, cost savings, and SLA compliance.
- Maintain updated supplier database and perform periodic vendor evaluations.
- Ensure all purchases follow company procurement policy and approval limits.
Logistics & Inventory
- -Coordinate inbound/outbound shipments, freight forwarding, and customs clearance with brokers.
- Track shipments end-to-end and resolve delays, damages, or documentation issues.
- Work with warehouse team on receiving, stock control, and accurate inventory records.
- Plan delivery schedules to meet production/sales deadlines while minimizing cost.
- Monitor stock levels and raise replenishment requests to avoid stockouts/overstock.
3. Documentation & Compliance
- Maintain accurate records: POs, invoices, GRNs, delivery notes, waybills, import docs.
- Ensure compliance with company policies, tax, and import/export regulations in Ghana.
- Support audits by providing procurement and logistics documentation.
4. Stakeholder Coordination
- Liaise with Finance on invoice matching, payment schedules, and budget tracking.
- Work with Operations, Sales, and Project teams to forecast demand and plan purchases.
- Provide regular reports on spend, savings, supplier performance, and delivery KPIs.
Qualifications & Experience
- Bachelor’s degree in Procurement, Supply Chain, Logistics, Business Admin, or related field.
- 2-4 years’ experience in procurement and/or logistics coordination. FMCG/manufacturing experience is a plus.
- Knowledge of import/export procedures, incoterms, and Ghana customs processes.
- Proficiency in MS Excel, ERP systems, and procurement software. SAP/Oracle /MS D365 is an advantage.
