This position is primarily responsible for ensuring original loan documents are received from title companies and closing agents, accurately logged and tracked, delivered to the Company's document custodian, and maintained in accordance with Company, custodian, warehouse lender, and investor requirements.
The Specialist will also be responsible for monitoring and clearing document custodian exceptions, obtaining trailing documents, and coordinating the movement of original collateral in connection with loan sales and other financing transactions.
This is an operational, detail-intensive role that requires strong follow-up skills and the ability to manage a high volume of loans and outstanding document items simultaneously.
Responsibilities:
- Post-Closing Collateral Receipt & Tracking
- Document Custodian Delivery & Tracking
- Custodian Exception Management
- Trailing Document Management
- Collateral Movement & Bailee Administration
- Assist with the preparation and tracking of Assignments of Mortgage or Deed of Trust required for loan sales and collateral transfers.
- Assist with preparation and coordination of Allonges to Promissory Notes.
- Recording Coordination
- Collateral Reconciliation & Quality Control
Qualifications:
- High school diploma required; associate's or bachelor's degree preferred.
- 1-3 years of experience in mortgage post-closing, mortgage operations, document custody, collateral administration, title, closing, or a related field preferred.
- Familiarity with residential mortgage loan documents preferred, including Promissory Notes, Mortgages, Deeds of Trust, Assignments, Allonges, Title Insurance Policies, and Recorded Instruments.
- Experience working with title companies or closing agents preferred.
- Experience with mortgage post-closing or trailing document processes is strongly preferred.
- Experience working with a document custodian is a plus but not required.
- Strong computer skills, including Microsoft Excel, Outlook, and other Microsoft Office applications.
- Ability to learn loan origination, servicing, collateral tracking, and document management systems.
