Overview
Responsible for overseeing all Mailroom functions, including the handling of all incoming and outgoing mail, mail and package distribution and tracking throughout the corporate office and within a specified geographic territory. Supervision of mailroom personnel.
Job Description
Strategic

  • Contribute to the development of business unit goals and action plans to anticipate and support the needs of a growth-oriented company
  • Responsible for maintaining the company shipping system

Operational

  • Responsible for multiple locations within a specific geographic territory
  • Actively identify and promote cost-effective solutions for Mail Services
  • Track all incoming and outgoing mail packages, including Fed Ex, UPS and courier services
  • Manage receipt and delivery of all goods coming into the corporate facility
  • Verify that all outgoing is mail is properly metered and shipped out on a daily basis
  • Assist all departments as needed with mail preparation. This can include folding, inserting and sorting mail.
  • Manage staff in mail services under direct authority

Governance

  • Manage departmental metrics, KPI's and reporting
  • Assist in the development of all Policies & Procedures to aid in the administration of mail services functions
  • Administer recurring routines, including meetings with core business partners, to drive a shared understanding, prioritization and fulfillment of initiatives.

Other

  • Perform other related duties as required and assigned
  • Demonstrate behaviors which are aligned with the organization's desired culture and values

Ideal Candidate will have the following:

  • Conversant with technical and critical components of the Mail Services discipline
  • Relies on extensive experience & judgment to plan and accomplish goals
  • General computer skills: including use of Microsoft Office Suite
  • Analytical - Synthesizes complex or diverse information; conceptualizes solutions
  • Strong communication skills with the ability to interact with all levels of staff
  • Speaks and writes clearly and persuasively in positive or negative situations, demonstrates group presentation skills and conducts meetings
  • Demonstrates ability to advance multiple priority assignments concurrently and within established deadlines
  • Competent at working in partnership with team members to deliver expected results
  • Prioritizes and plans work activities, uses time efficiently and develops realistic action plans
  • Identifies and resolves problems in a timely manner and gathers and analyzes information skillfully
