We are looking for a hands-on, detail-oriented Operations and Logistics Coordinator to support the day-to-day fulfilment and customer support operations of Medici Peptides. You will be on-site at our pharmacy Monday through Thursday, ensuring orders are dispatched correctly, on time, and on-brand, with Fridays dedicated to packaging preparation and organisation. This is a practical, get-things-done role for someone who takes pride in getting the details right, cares about the experience every member receives, and is always thinking a step ahead.
What you will work on
Be present at the pharmacy daily, working hands-on to ensure orders are dispatched correctly, on time, and to Medici Peptides brand standards.
Inspect outgoing orders for packaging quality, labelling accuracy, insert inclusion, and seal integrity before they leave the facility.
Ensure all outbound documentation is accurate and complete prior to dispatch.
Catch and resolve issues at the source, before they become member-facing problems.
Use Fridays on-site to prepare, organise, and stock packaging materials ready for the week ahead.
Pharmacy CoordinationServe as the day-to-day operational contact at the pharmacy, coordinating on order timing, volumes, and any fulfilment issues as they arise.
Communicate clearly and proactively with the pharmacy team to keep order flow running smoothly.
Out-of-State OrdersOwn the process for orders being shipped to members outside of Texas, ensuring each order meets the documentation and cold-chain requirements for the destination state.
Maintain a working knowledge of state-level shipping and eligibility requirements and flag anything that could affect order flow.
Track out-of-state orders with particular attention given extended transit times and the elevated risk of cold-chain or delivery exceptions.
Shipping & LogisticsGenerate and manage shipping labels and tracking information for all outbound orders through approved carrier platforms.
Monitor all outbound orders end-to-end and follow up on tracking exceptions, mis-routes, failed deliveries, and lost shipments promptly.
Coordinate replacements for damaged, lost, or compromised orders in line with Medici Peptides policy.
Ensure cold-chain integrity on all temperature-sensitive shipments: cold-pack protocols, insulated packaging, signature-required dispatch, and delivery window monitoring.
Support the management of carrier accounts and flag any billing or service issues for escalation.
Act as custodian of all shipment, delivery, and returns records within the platform, keeping data accurate and up to date at all times.
Customer SupportHandle inbound member tickets covering order status, shipping queries, billing questions, and general platform support.
Resolve routine issues promptly and escalate anything complex or sensitive through the correct channels.
Process returns, refunds, and order adjustments in line with Medici Peptides policy.
Communicate with members in a way that reflects Medici Peptides' commitment to trust and an exceptional member experience.
What you will bring
1 to 3 years in an operations, logistics, fulfilment, or customer support role. Healthcare or pharmacy experience is a plus but not required.
Comfortable working with shipping platforms and carrier portals such as UPS.
Familiarity with customer support or helpdesk tools such as Intercom is helpful.
Experience in a regulated, quality-sensitive, or healthcare environment is an advantage.
