What you'll be responsible for:
Circle is looking for an Office Manager & Talent Acquisition Operations Associate to be the "glue" within our recruiting processes and in-office operations.
This role is based full-time (five days per week) in our Bangalore office and sits at the intersection of Talent Acquisition, Office Management, and employee experience-supporting everything from interview coordination and offer generation to front-of-house operations, office logistics, and on-site events. You will own key projects on the TA Platforms Team, generate offer letters, employment contracts, transfer letters, and NDAs, and routinely organize panel interviews, while also ensuring a welcoming, well-run office environment for candidates, employees, and visitors.
In this role, you will be present in the office to greet guests, manage deliveries and inventory, support Circle-hosted events, coordinate with vendors, Finance, IT, and Real Estate partners, and assist regional leaders with meeting logistics. You will work closely with the People & Workplace teams to deliver a white-glove, highly personalized candidate and employee experience-from first interview to day-one onboarding and beyond.
What you'll work on:
  • Routinely schedule high-volume and complex panel interviews with partners across the organization while resolving scheduling conflicts.
  • Publish internal and external job postings to our career site and various job boards while maintaining compliance with pay transparency laws.
  • Generate and proof offer letters and employment agreements, ensuring approved details are reflected accurately.
  • QA international offer letters and start date addendums for the greater TA Team.
  • Work cross-functionally with other parts of People & Workplace as well as Legal, Compliance, Executive Assistants, on all relevant initiatives and routine syncs.
  • Build new functionality for TA and simplify our current processes while maintaining data integrity across our core systems and platforms.
  • Create and manage interview data within ModernLoop, including modules and attributes.
  • Complete regular audits and cleanups of Workday candidate data, including but not limited to: email templates, internal job postings, pay transparency posts, etc.
  • QA talent acquisition workflow processes while providing recommendations to drive efficiency and effectiveness.
  • Be present in the office to greet visitors and handle operations
  • Process physical mail and deliveries.
  • Organize and maintain cleanliness of cabinets, storage, and meeting rooms.
  • Check and maintain inventory for pantry, office supply, and corporate merchandise.
  • Process invoices and liaise with Finance for government claims and vendor payments.
  • Work closely with the Workplace team to organise office events (example ERG and social bonding activities).
  • Support other admin matters as required.

W hat you'll bring to Circle:
  • 2+ years experience supporting fast-paced operations within tech, fintech, payments, or similar high-growth environments, with a strong foundation in both recruitment coordination and office management.
  • Exceptionally professional and poised, with the ability to represent Circle confidently to candidates, executives, vendors, and visitors.
  • Detail-oriented and highly organized, balancing competing priorities while consistently meeting tight deadlines with precision and follow-through.
  • Passion for delivering white-glove service, proactively anticipating stakeholder needs and elevating both candidate and employee experiences.
  • Strong communicator with the ability to collaborate seamlessly across teams, leveraging tools like Slack and email to keep processes moving efficiently.
  • Technically proficient with recruiting and productivity tools, including Workday, ModernLoop, Google Suite, Slack, project management platforms, and Apple MacOS.
