Our Scottsdale office is one of the cultural and operational hubs of Luxury Presence. As we scale, the day-to-day of running the space (vendors, IT setup for new hires, events, the hundred small things that make an office feel intentional) needs a dedicated owner. Today, those threads are split across leaders and operators who could be focused on the business. We need someone to absorb all of that and make Scottsdale a place people are genuinely excited to come into.
This is a high-trust, high-visibility role. You'll be the person every employee in the building turns to when something needs to happen, and the person leaders rely on to keep the office running without ever having to think about it.
What You'll OwnOffice Operations
Run the day-to-day of the Scottsdale office: supplies, snacks, mail, vendors, cleaning, facilities, security, and everything in between.
Anticipate needs before they become asks. Spot what's missing, broken, or about to break, and handle it.
Source, negotiate, and manage vendor relationships. Hold them to a high bar.
IT & New Hire Setup
Make sure every new hire has a working laptop, monitor, badge, and desk on day one. No exceptions.
Resolve Tier 1 IT issues directly (peripherals, A/V, conference rooms, basic troubleshooting).
Partner with the central IT team on anything that needs to escalate, and own the loop until it's closed.
Culture & Experience
Plan and run consistent in-office moments people actually look forward to: team lunches, happy hours, celebrations, holidays, milestones.
Dial in the physical space so it feels intentional and energizing, not generic.
Set the tone in the office. You're often the first face people see when they walk in.
Leadership Support
Absorb the operational tasks that currently land on senior leaders' plates so they can focus on the business.
Handle confidential information, leader requests, and visitor interactions with discretion and polish.
Skills and Experience
3+ years of office management, executive assistant, or operations coordinator experience at a fast-growing company.
Track record of running a busy office with multiple stakeholders and competing priorities.
Comfortable with Tier 1 IT troubleshooting and the standard SaaS stack (Google Workspace, Slack, Zoom, basic A/V).
Experience managing vendors and negotiating contracts.
Experience planning events and culture moments people actually enjoy.
Attributes
Anticipatory. You see what's needed before anyone asks, and you act on it.
Fast and trustworthy. You move quickly, follow through, and close loops.
Calm under simultaneous demands. A broken AC, a new hire setup, and a leader's vendor question don't rattle you.
Warm and present. People genuinely like seeing you in the office.
Discreet. You handle sensitive information and leader requests with maturity.
You take extreme ownership of the office experience. There's no "not my job" in your vocabulary.
