SRAM is seeking a highly organized and service-oriented Office Manager to oversee workplace operations and ensure an efficient, safe, and engaging office environment. This role is responsible for office administration, vendor management, facilities coordination, workplace experience, logistics, and operational support. Responsibilities
- Oversee daily office operations, including facilities coordination, office supplies, workplace maintenance, and vendor management.
- Manage relationships with external vendors and service providers, including contract administration, performance monitoring, and cost optimization.
- Partner with Facilities and Global Workplace teams on office maintenance, budget planning, workplace projects, relocations, and space management.
- Support Environmental Health & Safety (EHS) initiatives, workplace safety programs, emergency procedures, and compliance requirements.
- Develop, maintain, and improve office procedures, documentation, and operational workflows.
- Coordinate employee onboarding activities, workplace setup, visitor management, and meeting logistics.
- Partner with HR and business leaders to support employee engagement initiatives, workplace communications, and site programs.
- Manage workspace allocation, seating arrangements, office moves, and space utilization planning.
- Coordinate travel and logistics support, including hotel reservations, transportation, catering, and event arrangements.
- Partner with local committees and employee resource groups to support company events, wellness programs, community engagement, and workplace initiatives.
- Collaborate with global Office Managers to standardize processes, share best practices, and support sustainability initiatives.
- Oversee office logistics activities, including imports, freight coordination, inventory tracking, and warranty return processes.
- Support order management processes by coordinating information between sales operations and ERP systems to ensure accurate tracking and reporting.
- Prepare, reconcile, and submit expense reports in accordance with company policies.
- Ensure workplace policies, procedures, and guidelines are effectively communicated and consistently followed.
Qualifications
- Minimum of 2 years of experience in Office Management, Workplace Coordination, Facilities Administration, Executive Support, Workplace Experience, or a related corporate environment.
- Bachelor's degree preferred.
- Experience managing vendors, facilities services, office operations, and workplace projects.
- Proficiency with Microsoft Office Suite; SAP experience is highly desirable.
- Experience with workplace management systems, ticketing platforms, procurement tools, or vendor management systems.
- Strong organizational, project management, and multitasking abilities.
- Excellent communication, interpersonal, and stakeholder management skills.
- Customer-focused mindset with the ability to build collaborative relationships across all levels of the organization.
- Experience supporting office relocations, workplace improvements, and employee engagement initiatives.
- Fluency in English and Portuguese (written and spoken) required.
