About the role.
We are seeking an experienced Office Experience Manager & Executive Assistant to lead the delivery of an exceptional workplace experience at our Melbourne Head Office while providing high-level executive support to the Managing Director ANZ and senior leaders. This role is responsible for ensuring the smooth day-to-day operation of the office, enhancing employee engagement, managing key workplace initiatives, and fostering a welcoming, productive, and collaborative environment.
This role manages the Receptionist & Office Coordinator and partners closely with IT, vendors, contractors, and building management to ensure the office runs smoothly and delivers a great experience for employees.
What you'll be doing.
- Provide high-level executive support, including calendar management, meeting coordination, travel arrangements, expense reconciliation, and preparation of presentations, reports, and correspondence.
- Manage day-to-day office operations, facilities, workplace services, and vendor relationships to ensure a seamless employee experience.
- Lead office-based events and employee engagement activities that reinforce McCain's culture and values.
- Coordinate onboarding activities for new employees and support workplace initiatives that enhance engagement and productivity.
- Manage office budgets, purchase orders, invoices, and general administrative processes.
- Act as the primary liaison with building management, contractors, cleaners, couriers, and workplace service providers.
- Oversee workplace systems, meeting spaces, office supplies, and office protocols to support efficient operations.
- Partner with IT and other support functions to ensure office technology and workplace services meet employee needs.
- Support workplace health, safety, security, and emergency preparedness initiatives.
- Lead or participate in office improvement projects, including workspace renovations and other special initiatives.
What you'll need to be successful.
- 5+ years' experience in Office Management, Workplace Experience, Executive Assistant, or a similar role.
- Proven experience supporting senior leaders in a fast-paced corporate environment.
- Experience planning and coordinating employee events and engagement programs.
- Strong organisational skills with the ability to manage multiple priorities and competing deadlines.
- Excellent written and verbal communication skills.
- Highly developed interpersonal skills with the ability to build effective relationships across all levels of the organisation.
- Strong problem-solving skills and the ability to exercise sound judgement and discretion.
- Demonstrated ability to work independently while collaborating effectively with broader teams.
- Advanced proficiency in Microsoft Office and the ability to quickly learn new systems and technologies.
- High level of professionalism, confidentiality, and attention to detail.

This role sits within our Melbourne Head Office and is a key member of the broader People and Workplace community. You will work closely with business leaders, employees, and support teams while leading a small office services team to create a workplace that enables collaboration, engagement, and operational excellence.
