The Lead Business Services Specialist serves as a key liaison across teams, functions, and vendors-ensuring seamless coordination of services while driving an exceptional end-user experience. This position requires a proactive, customer-first mindset, strong organizational skills, and the ability to manage multiple priorities in a dynamic environment.
Workplace Hospitality & Customer Experience
- Serve as a highly visible, front-line representative delivering a concierge-level workplace experience
- Act as a roving point of contact to proactively identify and resolve service issues
- Provide timely, professional responses to workplace requests ensuring a positive experience
- Coordinate meetings, events, and workplace activities with focus on quality and service excellence
- Maintain readiness and hospitality standards across shared spaces
- Excellent customer service skills with hospitality mindset
Business Operations & Administrative Support
- Provide senior-level administrative and operational support
- Manage work order/ticketing systems including assignment and closure
- Coordinate with facilities teams and vendors to ensure timely service delivery
- Process invoices, purchase orders, and payments accurately
- Support expense reporting, P-card reconciliation, and budget tracking; efficiently track and manage a multi-tenant building budget that includes invoice tracking, CapEx spending, OpEx spending, and LRP planning.
- Maintain vendor records and manage supply inventory
- Experience creating PowerPoint presentations of various types to share with higher-level management
- Demonstratable skills with Excel spreadsheets for tracking purposes and other various projects to share with higher-level management
Coordination, Communication & Stakeholder Engagement
- Serve as liaison across teams, vendors, and stakeholders
- Communicate workplace updates and operational information
- Support scheduling, meetings, and coordination
- Interact professionally with all organizational levels
Workplace Operations & Continuous Improvement
- Conduct facility walkthroughs to identify and resolve issues
- Support space planning and employee moves
- Coordinate vendor services and inspections
- Identify service improvement opportunities
Internal Team Support
- Provide cross functional support to facility operations team
- Promote a culture of hospitality and service excellence
- Support cross-functional initiatives
Minimum Qualifications:
- High School Diploma/GED and 7 years' experience in a related field.
- OR the right candidate could also have a different combination, such as any level degree/certification beyond a HS diploma/GED in a related discipline and 5 years' experience;
- OR 9 years' experience in a related field
- Familiarity with budgeting and vendor coordination
- Strong customer service and communication skills
- Experience with Incident Workplace Management Systems ticketing platforms
- Proficiency in Microsoft Office Word, PowerPoint, and Excel
- Ability to manage confidential information
- Experience with budget tracking, CapEx and OpEx planning and tracking, and LRP planning
Preferred Qualifications:
- Property management and/or leasing background experience supporting tenants
- Experience in facilities, workplace services, or hospitality
- Experience supporting events or workplace programs
- Administrative support experience in a fast-paced environment
- Experience with Accounts Payable software systems
Work Environment
Office-based with frequent interaction across teams and stakeholders; requires a strong service mindset and adaptability.
USD 22.02 - 33.08 per hour
Compensation:
Hourly pay rate is in the range of $22.02 - $33.08/hour. The hourly base rate may vary within the anticipated range based on factors such as the ultimate location of the position and the selected candidate's knowledge, skills, and abilities. Position may be eligible for additional compensation that may include commission (annual, monthly, etc.) and/or an incentive program.
Benefits:
Employees are eligible to receive a minimum of sixteen hours of paid time off every month and seven paid holidays throughout the calendar year. Employees are also eligible for additional paid time off in the form of bereavement leave, time off to vote, jury duty leave, volunteer time off, military leave, and parental leave.
