Build Smarter Systems. Automate Workflows. Drive Growth.

The HubSpot Specialist (APIs & Automation) will manage, optimise, and expand our HubSpot CRM capabilities to support efficient sales and marketing operations. You'll work closely with internal stakeholders to understand business processes, improve CRM functionality, and build automation solutions that reduce manual work and improve operational efficiency.

This isn't just a configure-the-CRM-and-build-workflows role. You'll be expected to understand how business systems work together, identify opportunities for automation, and develop technical solutions that go beyond standard HubSpot functionality. You'll work with CRM architecture, REST APIs, webhooks, custom integrations, and scripting to connect platforms and create more efficient processes.

You'll take ownership of the solutions you build, from understanding requirements and designing the implementation to troubleshooting issues, monitoring performance, and ensuring integrations remain reliable over time.

We're looking for someone who combines strong HubSpot expertise with technical problem-solving skills, someone who can translate business requirements into practical, scalable solutions and make our systems work smarter.

If you enjoy connecting systems, solving complex workflow challenges, and using automation to create measurable business impact, we'd love to meet you.

What You'll Do
You'll be the kind of person who:

HubSpot CRM Administration & Optimisation
  • Administer and continuously improve HubSpot CRM, including objects, properties, associations, pipelines, permissions, and data structures.
  • Configure and maintain HubSpot capabilities to support evolving business requirements and operational processes.
  • Review existing CRM configurations and identify opportunities to improve usability, data quality, and overall system performance.
  • Manage CRM data structures to ensure information is organised, consistent, and reliable.
  • Implement and maintain custom objects and advanced HubSpot features where appropriate.
Workflow Automation & Process Improvement
  • Build, maintain, and optimise HubSpot workflows for lead management, enrichment, scoring, routing, notifications, and other business processes.
  • Identify repetitive manual tasks and develop automation solutions to improve efficiency and reduce operational effort.
  • Troubleshoot workflow issues and investigate unexpected behaviour, failed automations, and process gaps.
  • Continuously improve existing automations to make them more reliable, scalable, and easier to maintain.
  • Configure programmable automation and custom code actions where standard workflow functionality is insufficient.
API Development & Systems Integration
  • Design, build, and maintain integrations between HubSpot, internal applications, and third-party platforms.
  • Work with REST APIs, webhooks, JSON, HTTP requests, and authentication methods such as OAuth.
  • Use JavaScript or Python to develop scripts and custom integrations that extend HubSpot's capabilities.
  • Configure and maintain HubSpot API connections, private apps, and other integration components as required.
  • Translate business requirements into technical integration solutions that connect systems and streamline processes.
Data Management & Synchronisation
  • Develop and maintain data synchronisation processes between HubSpot and connected business applications.
  • Investigate and resolve issues involving missing, duplicated, inconsistent, or incorrectly mapped records.
  • Implement appropriate data validation, transformation, and error-handling processes to maintain data integrity.
  • Support CRM data cleanup, deduplication, and ongoing data quality improvements.
  • Ensure information flows accurately and consistently across integrated systems.
Monitoring, Troubleshooting & Reliability
  • Monitor automations and integrations to identify failures, performance issues, and potential improvements.
  • Implement appropriate logging, retry mechanisms, and error notifications to improve system reliability.
  • Investigate technical issues, identify root causes, and implement sustainable solutions rather than temporary fixes.
  • Test changes and enhancements before implementation to minimise disruptions to business operations.
  • Take ownership of technical issues through resolution and continuously improve system performance.
Stakeholder Collaboration & Documentation
  • Work with Sales, Marketing, and other internal teams to understand business processes and gather technical requirements.
  • Translate operational challenges into practical CRM, automation, and integration solutions.
  • Communicate technical concepts and proposed solutions clearly to both technical and non-technical stakeholders.
  • Document CRM architecture, integrations, workflows, system configurations, and important business logic.
  • Maintain clear technical documentation to support troubleshooting, future enhancements, and ongoing system maintenance.

Requirements
What You Bring
We're looking for someone with:
  • At least 2 years of hands-on experience in HubSpot administration, CRM implementation, workflow automation, or systems integration.
  • Strong understanding of HubSpot CRM objects, properties, associations, pipelines, workflows, and data management.
  • Practical experience building, maintaining, and troubleshooting HubSpot workflows and automations.
  • Hands-on experience working with REST APIs, webhooks, JSON, HTTP, and authentication methods such as OAuth.
  • Working knowledge of JavaScript or Python for scripting and integration development.
  • Experience connecting business applications and troubleshooting data synchronisation issues.
  • Strong analytical, troubleshooting, and problem-solving skills, with the ability to investigate root causes and implement effective solutions.
  • Ability to understand business requirements and translate them into technical implementations.
  • Strong sense of ownership, with the ability to work independently and manage solutions from implementation through ongoing maintenance.
  • Excellent written and verbal communication skills in English.
  • Strong organisational skills and attention to detail.
Important: This is not a purely administrative HubSpot role. You'll need to be comfortable getting hands-on with APIs, scripting, and integrations when business requirements cannot be solved through standard CRM configuration alone.

Nice to Have
  • Experience with the HubSpot API, custom code actions, private apps, and custom objects.
  • Familiarity with automation platforms such as Make, Zapier, n8n, or similar tools.
  • Experience with data enrichment platforms such as Clay, Apify, or similar solutions.
  • Experience with CRM migrations, data cleanup, deduplication, and system integrations.
  • Familiarity with SQL and relational databases.
  • Experience using AI-powered coding tools such as Claude Code or Cursor.
  • Background in Sales Operations, Marketing Operations, or Revenue Operations.
