We're ~30 people heading toward 100, and every week adds meetings, candidates, investors, and trips. Your job is to run the founders' operational world so tightly they stop thinking about it: the right people in the room, prepared, on time - without anyone asking you.
What You'll RunThe calendar - scheduling, priorities, conflicts resolved before they surface. Time protected for what only founders can do.
Meetings - agendas ready, materials in the room, notes captured, follow-ups chased until they close.
Travel and expenses - flights, hotels, visas, reconciliation. Right the first time.
Board and investor logistics - decks assembled, sessions prepped, action items tracked to done.
The daily glue - visitors, events, errands, the ad-hoc requests that keep the week moving.
Every thread is yours until it closes. You don't ask what to do - you bring a recommendation and confirm. The measure of success: the founders' week runs without friction, nothing slips, and nobody asks twice.

- Strong written English and Polish
- Warsaw-based and in-office regularly (not remote)
- High agency: proactively identify gaps and propose solutions
- Detail-obsessed with strong attention to accuracy
- Calm under pressure and able to triage competing priorities
- Discreet handling of confidential information (salaries, board materials)
- AI-native: experience using tools like Claude, ChatGPT, or Viktor and automating workflows
- Experience managing travel bookings and expense reconciliation
- Experience coordinating recruiting loops and candidate scheduling
- First EA or ops hire experience
- Coordinated high-volume recruiting (20+ candidate pipeline)
- Power user of Notion, Attio, Linear, or Deel

Viktor is an AI coworker and teammate integrated into Slack and Microsoft Teams. It connects to thousands of tools and leverages company context to perform real work for businesses across finance, marketing, operations, and engineering. The company is focused on building a product that can replace a large portion of the existing SaaS stack.
