The Role

Smartly is looking for an Executive Assistant to join our fast-growing team!

IIn this role, you will support the Chief Human Resources Officer (CHRO), Chief Product Officer (CPO), and Chief Marketing Officer (CMO) and collaborate closely with global teams. You’ll own administrative tasks, calendar management, and event coordination.

Successful candidates must be sociable, have excellent problem-solving skills, and an entrepreneurial spirit. Attention to detail and strong communication skills are essential. You should also be comfortable handling highly confidential information, juggling scheduling across multiple time zones, and thrive in a fast-paced environment. We are seeking a highly organized individual who knows how to “get the job done.” You should have a passion for helping others succeed and be able to juggle and prioritize multiple tasks simultaneously. We are looking for someone to take ownership, optimize their impact, and maximize learning.

This is a hybrid position with the expectation that you will be in the office 3 days a week.

The nature of the work may require some after hours and weekend support

As an Executive Assistant at Smartly.io, you will…
  • Support the Chief People Officer, Chief Product Officer, and Chief Marketing Officer
  • Work closely with our NYC, Chicago, and Helsinki Executive Assistants
  • Actively manage and own executives’ calendars, including arranging and prioritizing meetings
  • Coordinate executive travel, help plan internal and external events, and own all expense collection and submission
  • Collaborate cross-functionally to improve existing business operations
  • Represent the Smartly.io brand in all interactions
We are looking for you if you have…
  • Experience in a similar role supporting senior-level executives in a high-growth, fast-paced company
  • Experience working in a startup environment (a focus on Social or AdTech is a plus)
  • Strong ability to multitask, prioritize, and meet deadlines in a dynamic environment
  • Excellent verbal, written, and interpersonal communication skills
  • Project management skills and experience
  • An independent, well-structured working style with a proactive, can-do attitude
  • Ability to learn quickly and strong determination to achieve goals
  • Proficiency in Google Workspace and Microsoft Office
  • Bachelor’s degree preferred

Compensation: $45–$55 per hour (USD)
