We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive administrative support to our executive leadership. The ideal candidate will anticipate needs, manage complex schedules, and serve as a trusted point of contact for internal and external stakeholders. This role requires exceptional communication skills, attention to detail, and the ability to thrive in a fast-paced, dynamic environment.
Duties and Responsibilities:
Administrative Support
- Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare, edit, and proofread correspondence, presentations, and reports.
- Handle incoming communications, prioritize requests, and respond on behalf of the executive when appropriate.
Meeting & Event Coordination
- Plan and coordinate internal and external meetings, including agendas, materials, and follow-up actions.
- Arrange logistics for conferences, board meetings, and special events.
- Take meeting notes, track deliverables, and ensure timely follow-up.
Operational Support
- Assist with project management tasks, tracking deadlines, and ensuring priorities are met.
- Conduct research, compile data, and prepare briefing materials for decision-making.
- Manage confidential and sensitive information with the highest level of discretion.
Relationship Management
- Act as a liaison between the executive and internal teams, clients, partners, and other stakeholders.
- Build and maintain strong professional relationships to support business objectives.
Required:
- Proven experience (5+ years) as an Executive Assistant, Administrative Manager, or similar role supporting senior leadership.
- Excellent written and verbal communication skills.
- Strong organizational and time-management skills with the ability to multitask effectively.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Teams, SharePoint, Planner).
- High level of discretion, integrity, and professionalism.
