Provides advanced administrative support to the Chief Communications Officer, a senior executive responsible for internal and external communications across the enterprise. This role will work across the Corporate Communications team and partner with key leaders and teams throughout the organization on a range of topics.
The role requires the ability to manage multiple priorities and exercise strong judgment. The individual must be highly organized, detail-oriented and capable of operating independently in a fast-paced environment, while also ensuring key information and details are communicated effectively to the team.
The ideal candidate will possess excellent organizational skills, strong verbal and written communication abilities, exceptional attention to detail and the flexibility to adapt as priorities change. The individual will also demonstrate sound judgment and the ability to develop practical solutions in situations that may be atypical, time-sensitive or not clearly addressed by established procedures. A project manager mentality is a plus.
Responsibilities Include, but Are Not Limited To:
• Manage a complex executive calendar, including scheduling, prioritization and resolving competing demands (such as travel arrangements, meetings, and expense reports) on time.
• Work extended hours on occasion, particularly in connection with significant company events, leadership meetings or other time-sensitive communications needs.
• Maintain confidential information.
• Support the Chief Communications Officer in the planning and coordination of key meetings, events and communications activities, including meeting logistics, materials and follow-up.
• Participate in Communications team meetings as appropriate to gain context and familiarity with team priorities, initiatives and ongoing work.
• Coordinate meetings, travel, expenses and other administrative activities.
• Handle incoming calls, emails and requests with professionalism, discretion and sound judgment, appropriately prioritizing and routing matters.
• Track follow-up items, commitments and deadlines, ensuring timely completion and escalation when appropriate. Anticipate needs before they arise.
• Build familiarity with the Communications team's processes, systems and tools and help ensure information and materials are organized and readily accessible.
• Assist with special projects, corporate events, senior leadership meetings and enterprise communications initiatives as needed.
• Partner effectively with colleagues and stakeholders across the enterprise, helping coordinate activities and maintain strong working relationships on behalf of the Chief Communications Officer.
• Provide solutions to problems in situations that are atypical or infrequently occurring, drawing upon experience, judgment and established practices.
• Other duties in line with the role as needed.
Requirements
• Minimum 3 years in an executive assistant or similar support role.
• Excellent interpersonal skills/presence.
• Comfort/familiarity working with/learning about AI tools that assist department operations.
• A self-motivated team player who is innovative and adaptable to a fast-paced, consistently changing environment.
• Must have schedule flexibility.
• Ability to coordinate and prioritize multiple tasks/projects simultaneously.
• Strong project-management skills.
• Strong familiarity with Microsoft Office computer programs (e.g., Word, PowerPoint, Outlook, Excel, etc.).
• Ability to thrive under the pressure of multiple deadlines.
Pay Transparency
Salary Range: $73,500-$105,000
Overtime eligible: Nonexempt
Discretionary bonus eligible: Yes
Sales bonus eligible: No
Actual base salary will be determined based on several factors but not limited to individual's experience, skills, qualifications, and job location. Additionally, employees are eligible for an annual discretionary bonus. In addition to base salary, employees may also be eligible to participate in an incentive program.
