About the Role

We are looking for a highly proactive, detail-oriented Executive Assistant (EA) to support our senior leadership team. This role goes far beyond traditional admin tasks—you will act as an operational partner, problem-solver, culture enabler, and an extension of the leadership team.

This position requires strong judgment, exceptional communication skills, and the ability to thrive in a fast-paced, ever-changing environment.

Key Responsibilities1. Executive & Administrative Support
  • Manage complex calendars across time zones; schedule internal/external meetings and resolve conflicts independently.

  • Coordinate travel logistics (flights, visas, accommodations, itineraries) with cost-efficiency.

  • Prepare and edit documents, presentations, meeting notes, and reports.

  • Track and follow up on action items from leadership meetings.

2. Operations & Project Coordination
  • Drive small to mid-scale internal projects (OKR coordination, internal processes, cross-team initiatives).

  • Support onboarding of new leadership hires or key roles.

  • Manage administrative workflows: procurement, vendor coordination, documentation, approvals.

  • Own internal processes to ensure operational smoothness (document control, meeting rhythms, productivity systems).

3. Communication & Stakeholder Management
  • Serve as the first point of contact for stakeholders, partners, vendors, and employees on behalf of leadership.

  • Prepare executive-level communication, summaries, and email drafts.

  • Facilitate alignment between leadership and cross-functional teams.

  • Ensure confidentiality and professionalism in all interactions.

4. Meeting & Event Coordination
  • Organize leadership offsites, strategy meetings, and team events.

  • Plan logistics, budgets, agendas, and materials.

Skills & RequirementsMust-Have
  • 4–8 years of Executive Assistant / Admin experience (startup or high-growth preferred).

  • Exceptional written and verbal communication skills.

  • Strong organizational, multitasking, and prioritization abilities.

  • High emotional intelligence, discretion, and professionalism.

  • Ability to work under pressure with changing priorities.

  • Mastery of Google Workspace (Docs, Sheets, Slides), calendaring tools, task management tools.
