This position coordinates purchase order documentation, CRM activity updates, customer communications, loaner tracking, system check-in, and repair queue readiness to help ensure timely service, strong communication, and operational excellence.

Job Description

Roles and Responsibilities

  • Coordinate Depot customer and loaner system activity from intake through completion, ensuring systems are checked in, tracked, and moved through the repair queue appropriately.
  • Review incoming purchase orders and customer communications, attach required documentation to the correct CRM activity, and maintain accurate activity notes and records.
  • Prepare and send customer update emails, return labels, loaner return reminders, and other Depot-related communications as needed.
  • Monitor voicemails, email requests, and inquiries related to customer system status, loaner availability, and Depot activity follow-up.
  • Maintain daily Depot workflow readiness by ensuring systems received before established cutoffs are pulled, reviewed, and assigned appropriate gameplans.
  • Provide exceptional customer service by addressing inquiries and concerns promptly and professionally.

Qualifications –

  • High school diploma or equivalent; additional education or certifications in logistics, customer service, or related fields is a plus.
  • Proven experience in asset recovery, logistics, or a similar role.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Proficiency in using computer systems and software for tracking and reporting purposes.
  • Ability to work independently and as part of a team.

Preferred Skills -

  • Experience in the medical equipment industry.
  • Knowledge of Ultrasound equipment and its handling.
  • Familiarity with CRM software and asset management systems.
  • Experience using Microsoft outlook, Microsoft teams
