Job Summary

The Commercial Processing Team main objectives is to focus on innovation, digitalization and providing seamless experience to our customers by partnering closely with the Business and aligning its operating model and change agenda with the Technology group to constantly improve and upgrade the supporting Commercial Processing systems and infrastructure.
The Commercial Processing Supervisor purpose is to supervise the Commercial Processing Team from a people, process and control point of view

Job Description

Commercial Processing

  • Check and supervise the work of subordinate staff in order to ensure completeness and accuracy.

  • Monitor and control Workflow of work.

  • Verification and authorization of all payments including inter-bank transfers, vouchers, direct debits, SFI runs, Absa Internet Banking requests and any other channels

  • Responsible for the different runs in the payments systems SFI and Direct Debit, Service Fees and any other platforms providing verification and signing

  • Responsible for verification of outstanding payments including SWIFT and local payments and answering to queries from Reconciliation

  • Responsible for booking of deals where required on Internet Banking

  • Ensure data integrity on the bank’s system.

  • Ensure approval from the Corporate Managers/Retail RM received before effecting payment

  • Attend to Bank/Customer queries

  • Provide guidance/ advice to customers/relationship managers as regard to Commercial Payment products including demos to customers for products such as Integrator, SFI, FDR and other cash management products

  • Follow up complaints and ensure rapid resolution

  • Abide to Group Policy and maintain a high standard of control within the business

  • Comply with SLA in place

  • Monitor diary reports and takes appriopriate action for long outsatnding items

Staff Management

  • Responsible for managing subordinate staff activity on a day to day basis and resourcing work flow requirements

  • Identify appropriate training requirements for self and team, managing personnel development, recommending attachments and monitoring staff development and progress

  • Supervise and motivate staff to create team spirit and ensure quality support and service to clients

  • To undertake reviews of staff performance on a quarterly basis

  • To put in place a robust succession plan

  • To ensure job rotation to provide job satisfaction and reduce risks of fraud

  • To coach staff on Commercial products to achieve targets

  • To provide feedback to Team leaders

Risk Management

  • Keep abreast of all operating instructions, standards and procedures

  • Initiate remedial actions where loopholes in operations are identified

  • Maintain the highest standard of internal controls and operating procedures in line with Group policy

  • Take accountability for monitoring and processing all transactions undertaken

  • Ensure compliance with operations standards and Assurance requirements

  • Maintain integrity of the database at all times

  • Engage in Control testing and snap check program

Miscellaneous & Team Work

  • To assist colleagues in the Commercial Ops department

  • Reconciliation of Monthly Extracts & ensure submission of returns in a timely manner

  • Provide assistance in updating process manuals, following up of remedial documentation etc

Knowledge, Expertise and Experience

  • Detailed knowledge of Commercial products, such as Internet Banking Platforms, SFI, Direct Debit, Service Fees, AIR and any other channels
  • A detailed knowledge of Absa policies and procedures related to Commercial Processing
  • A sound knowledge of risk relating to commercial products
  • Understanding the components of operational risks in the payment environment
  • Knowledge of Local Payment systems
  • Knowledge of International payment system
  • Knowledge of the Fixed Deposit system
  • Practical experience of current systems and their impact on operations and operational working practices
  • Good understanding of the bank’s commercial products and services knowledge of relevant processes and procedures
  • Knowledge of relevant legislation e.g. KYC, Money Laundering
  • Fully conversant with Swift message Type

Further Education and Training Certificate (FETC): Business, Commerce and Management Studies (Required)
