Job DescriptionDuties & Responsibilities
As a Commercial and Export-Import Coordinator, you will be responsible for coordinating orders, logistics, and invoicing, ensuring material availability, and managing inventory. This role also includes handling export-import documentation, tracking shipments, and collaborating with Sales, Supply Chain, and Freight Forwarders to optimize processes and ensure timely deliveries.
Key Responsibilities:
Commercial Coordination:
- Place orders and quotes, ensuring timely updates and communication with the Supply Chain.
- Verify LC terms and coordinate with Sales for Proforma Invoices; update delivery dates in DISCOS II.
- Ensure material availability and timely reservation of materials for customer orders.
- Monitor material movements and resolve disputes during the project period.
- Create Picklists for dispatch, arrange transport, and monitor revenue and material availability.
- Ensure accurate and timely invoicing, support period closings, and maintain proper documentation in DISCOS II.
- Coordinate with Engineering, Finance, and Yard Operations to resolve issues and reduce transport costs.
- Manage logistics requirements within the country and submit bills and provisions on time.
- Propose process improvements and handle additional duties as assigned.
- Perform monthly invoicing for engineering services.
- Manage customer creation and order import materials after checking stock.
Export-Import Coordination:
- Coordinate with Freight Forwarders and CHAs and prepare and verify export and import documents.
- Ensure timely duty payments and customs refunds; track all shipments.
- Prepare Proforma Order Confirmations and Tax Invoices; coordinate dispatches and quarantine imported items.
- Allocate Import Sea Freight, post DOKA GMBH invoices, and verify and process Clearance Bills.
This role reports directly to the Manager Operations.
