The Associate Program Manager will support a wide-range of projects within the Salesforce AI Research Team. This role will report into the operations team supporting the AI Research Program Manager and Director of Operations. The Associate Program Manager should be extremely proactive and consistently look for ways to improve processes. The ideal candidate for this role will be able to work autonomously, able to communicate effectively, and be well-organized with a very high attention to detail.
Tasks for the Salesforce AI Research Team will include:
- Onboarding and New Hire Support - refresh onboarding documents, liaise with hiring managers, manage the intern program, and track and assist all new hires
- Procurement Execution - set up new vendors, manage contract negotiations, open POs and execute on payment schedules
- Track and manage budget for specific projects: Swag + Internal Event Budgets, Conference Events Budgets, Budget for User Interviews + other tools.
- Present at team meetings to broadcast upcoming activities and events- including team participation expectations, attendee preparation, timing, location, transportation etc.
- Support the AI Research Monthly Meeting - give updates about upcoming events, team announcements and project updates.
- Conference Management - Will support the AI Research team’s presence at conferences. Assists in gathering and publicizing accepted conference papers, poster/oral presentation schedules, work closely with researchers on branding, work with our PMM on marketing collateral, etc.
- Organize Strategic Meetings with the Operations team - plan logistics for All Hands, Leadership Offsites, budget meetings and V2MOM reviews
- Team Events - Assists in planning team events throughout the year for both our wider AIR Team + Individual manager teams.
- Volunteer Events - you will plan at least one large scale volunteer event per quarter and communicate additional volunteer opportunities to the team throughout the quarter to ensure we hit our yearly volunteer hour goals
- Evangelism and Academic Paper Tracking - You will track and manage all academic papers submitted to top tier AI research conferences and supply up-to-date numbers to executive leadership upon request. You will work with marketing to keep our website up to date, and to tweet to evangelize research impact
Salesforce Associate Program Manager Role Description
- Create and manage project plans; monitor and review project progress and timelines; adjust schedules and plans as needed; and identify and resolve issues to ensure project success.
- Ensure on time and on budget delivery of projects while also ensuring that project gates and governance are properly adhered to during the execution of the project.
- Track utilization of project resources and manage this against the resource allocation and budget. This includes on time entry and approvals for project timesheets.
- Manage day-to-day execution of project implementations. Assist with the planning, tracking, documentation and status updates for the project.
- Manage one to two large projects and multiple small to medium sized projects requiring complex cross-functional collaboration and management at the program level.
- Leverage business knowledge and expertise to drive business process improvements.
- Create and maintain comprehensive project documentation
- Demonstrate excellent partner-facing and internal communication skills
- Demonstrate excellent written and verbal communication skills
- Demonstrate organizational skills including attention to detail and multitasking skills
Travel
- 1-2x per year for conferences or other events
Office Requirements
Based in San Francisco.
Required to work in office 10x per quarter in line with T&P Org requirements.
Will be required to support in-office events in Palo Alto.

2-3 years of Administrative, Project Management or relevant experience
