Job Description
The Assistant to the Board of Directors provides broad administrative and discretionary support to the corporate secretarial function for The Allstate Corporations Board of Director and Annual Shareholder Meeting processes.Key Responsibilities- Serve as the central point of contact for directors on meeting logistics, schedules and other communications
- Assist in planning and execution of logistics for Board and committee meetings (virtual, hybrid, and in-person), including troubleshooting for virtual meetings
- Develop and maintain Board and committee meeting annual calendars and meeting schedules
- Assist in preparation, assembly, and timely distribution of board materials and other communications to the Board
- Coordinate director travel
- Manage, track and process director and Board meeting expenses
- Liaise with directors, external guests, senior management and internal stakeholders (IT, Security, Facilities, Events, Executive Assistants to C-Suite) on Board and committee-related matters
- Maintain corporate governance website
- Maintain governance records, internal Sharepoint sites and other document management systems; ensure appropriate document retention
- Assist in review and response to document requests from internal and external parties (e.g., internal audit, external auditors, litigation)
- Provide additional administrative support on Board and corporate governance matters, including shareholder engagement meetings
- Leverage new technologies and AI tools to continually improve effectiveness and efficiency of processes
Education
- Bachelor’s degree or equivalent experience
- 5+ years of experience supporting senior executives, boards, governance functions or legal/compliance in a public company
- Experience in work environments requiring white-glove service mindset, a high degree of professionalism and discretion
- The individual in this role must exercise a high degree of confidentiality when handling sensitive or proprietary information
- Ability to collaborate with diverse stakeholders and manage competing priorities in a deadline-driven environment
- Experience working with C-Suite executives and Boards of Directors
- Exceptional organizational, problem-solving skills and judgment
- Experience with board portals (e.g., Diligent)
- Experience with other technology:
- Microsoft suite of products: Copilot, One Note, Sharepoint, Excel, PowerPoint, Word
- Adobe Acrobat or pdf software
- OneSpan or similar e-signature tools
- GEMS or similar entity management software
- Proficiency with expense reimbursement platforms (e.g., Concur, Workday Expenses)
- This job does not have supervisory duties.
