Essential Functions and Key Responsibilities
- Monitor and manage the Office Administration shared inbox and ticketing queue during the assigned shift, ensuring all requests are acknowledged within the agreed response time.
- Triage incoming requests by category, urgency, location, and owner, and route them to the correct admin, facilities, procurement, or logistics owner.
- Track open requests through to closure, provide requester updates, and escalate aged, urgent, or out of scope items to the Office Administration Lead based on the approved escalation path.
- Ensure every request is documented in the ticketing system before action is taken, with no undocumented or verbal only requests.
- Maintain and update office administration trackers covering requests, supplies, assets, logistics, and other trackers as assigned, within the required cut off.
- Prepare regular status summaries and reports for the Office Administration Lead and support audit and compliance requirements by keeping records complete and retrievable.
- Provide administrative support to the Office Administration team and other business functions, including office logistics, meeting rooms, supplies, and administrative requests.
- Assist with employee and visitor support to ensure a positive office experience, and support shift based office coverage with proper handover to the incoming shift.
- Design simple visuals for office announcements, advisories, signage, and internal campaigns using Canva or similar tools, following Aprio branding standards.
- Perform other administrative duties assigned by the Office Administration Lead.
Qualifications (Required)
- Work Setup: Onsite in Clark.
- Working Schedule: 12:00 PM to 9:00 PM, Monday to Friday.
- Bachelor's degree in Business Administration, Office Administration, Human Resources, Psychology, or a related field.
- At least 1 to 2 years of experience in office administration, shared services, or a similar role.
- Proficient in Microsoft Office applications (Excel, Word, PowerPoint, SharePoint, Outlook).
- Strong attention to detail and ability to maintain documentation standards.
Qualifications (Preferred)
- Experience in ticket handling, shared inbox management, or a service desk environment.
- Experience in Canva or other design tools.
- Experience preparing operational reports and maintaining trackers.
