Adjoint(e) administratif(ve) / Administrative Assistant

OBJECTIF PRINCIPAL : Apporter un soutien administratif, y compris la préparation de la correspondance et des rapports, le classement et d’autres activités générales de soutien au bureau. 

 

FONCTIONS ESSENTIELLES et RESPONSABILITÉS 

  • Produire de la correspondance, des rapports et d’autres documents; classer des documents, tenir et suivre le dossier d’attente, faire des photocopies, etc. 

  • Fournir une assistance téléphonique d’appoint. 

  • Traiter les factures; tenir des registres. 

  • Tenir les registres de présence de l’unité, la bibliothèque de documents et/ou les manuels. 

  • Consigner les procès-verbaux des réunions. 

  • Organiser les déplacements. 

  • Maintenir un inventaire de fournitures adéquat; commander des fournitures au besoin.

  • S’acquitter d’autres fonctions attribuées. 

  • Prendre en charge le(s) programme(s) de qualité de l’organisation. 

 

QUALIFICATIONS 

 

Formation et accréditations 

  • Diplôme d’études secondaires requis 

 

Expérience 

  • Une (1) année d’expérience en administration générale de bureau, ou combinaison équivalente d’études et d’expérience requis. Préférence pour les candidats ayant de l’expérience auprès de compagnies d’assurance, de courtiers ou de consultants.

  • Excellente communication orale et écrite, avec des compétences de présentation 

  • Connaissances informatiques, y compris les produits Microsoft Office 

  • Compétences d’analyse et d’interprétation 

  • Solides compétences organisationnelles

PRIMARY PURPOSE: To provide administrative support including preparing correspondence and reports, filing, and other general office support activities. 

 

ESSENTIAL FUNCTIONS and RESPONSIBILITIES 

  • Produces correspondence, reports, and other documentation; files documents, maintains and tracks suspense file, photocopies, etc. 

  • Provides back-up telephone support. 

  • Processes invoices and billings; maintains records. 

  • Maintains unit attendance records, library and/or manuals. 

  • Records meeting minutes. 

  • Makes travel arrangements. 

  • Maintains adequate supply inventory; orders supplies as needed. 

 

ADDITIONAL FUNCTIONS and RESPONSIBILITIES 

  • Performs other duties as assigned. 

  • Supports the organization's quality program(s). 

 

QUALIFICATIONS 

 

Education & Licensing 

  • High school diploma or equivalent required 

 

Experience 

  • One (1) year of experience in general office administrative duties or equivalent combination of education and experience required. Experience with an insurance company, broker or consultant preferred. 

 

Skills & Knowledge 

  • Excellent oral and written communication, including presentation skills 

  • PC literate, including Microsoft Office products 

  • Analytical and interpretive skills 

  • Strong organizational skills 

  • Good interpersonal skills 

  • Ability to work in a team environment 

  • Ability to meet or exceed Performance Competencies
