Position Summary:
The Florida Atlantic University Foundation is seeking a detail-oriented Accounting Specialist to support finance and administrative operations, including: project coordination, contract management, documentation, scheduling, and departmental processes in Boca Raton, FL.
Summary of Responsibilities:
Manage the vendor contract review and execution process, tracking status, updates, and prepare/submit for execution.
Maintain project management, tracking meetings, action items, deliverables and due dates and follow-up with responsible parties to ensure projects are completed in a timely manner.
Assist with preparation and tracking of agenda items and materials for applicable Board meetings (Finance and Investment Committee).
Responsible for submitting forms for signatures, preparing copies, filing and mailing tax returns or other governance documents.
Maintain department files, ensuring documents are filed on the shared drive and categorized accordingly.
Coordinate department scheduling and maintain department calendar of due dates and ensure deliverables are submitted when due.
Assist with maintaining cash logs, enter requisitions, spend authorizations, expense reports and other related transactions for the finance/foundation department.
Respond to requests via ticketing system as assigned, and assist with tracking and ensuring tickets are closed in a timely manner.
Assist with interdepartmental coordination of documentation and/or transfers, such as Office of Sponsored Programs.
Perform other job-related duties and special projects as assigned.
